Your Role:
The Office Administrator is pivotal to our growth strategy and is an on-site position. This versatile role demands excellent organisational skills, a knack for problem-solving, and a proactive approach to managing office operations, facilities, and providing administrative support to our senior leadership team.
Key Responsibilities:
Office Management:
* Oversee daily office operations, including visitor management, workspace organisation, supplies, equipment, and services.
* Be the welcoming face of Electrogenic, ensuring a positive experience for all visitors.
* Organize team events and meetings, travel and other logistics
* Provide administrative support to the senior leadership team, including calendar management, meeting scheduling, and coordinating complex travel arrangements.
* Prepare and distribute reports, meeting minutes, and presentations for the senior leadership team as needed.
* Assist with onboarding new employees.
* Distribute team communications through appropriate channels.
* Manage company vehicles (tax, MOTs, log books, etc.)
Facilities Management:
* Build and maintain relationships with vendors and contractors for facility maintenance, repairs, cleaning, and renovations.
* Coordinate facility-related projects.
* Administer emergency preparedness procedures, including evacuation plans, first aid provisions, and safety drills.
* Manage on-site security processes, including key and alarm systems.
* Carry out the administration for the company’s compliance with health and safety regulations and standards.
* Conduct regular risk assessments and implement measures to enhance workplace safety and employee well-being.
Requirements:
* Proven experience in administrative and facilities management.
* Ability to prioritise and meet deadlines effectively.
* Excellent written and verbal communication skills.
* High attention to detail.
* Ability to continuously improve processes.
* Comfortable working in a fast-paced environment.
* Proficiency in MS Office Suite (Excel, Word, Teams, etc.).
Desirable Experience:
* Working in a start- up business and/or automotive
* Familiarity with business tools such as Asana, Jira, etc.
