Office based role to support management of a set leasehold portfolio.
Duties:
* Answering inbound telephone calls and assisting where possible. Alternatively taking detailed messages and assessing urgency – forwarding to PMs if necessary.
* Providing prompt and courteous responses to inbound emails.
* Assisting Property Managers with following up work instructions to contractors ensuring they are completing successfully and in a satisfactory timescale.
* Prepare and distribute correspondence and reports.
* Work within a team to manage a group mailbox.
* Take payments over the telephone and update VAT schedule for keys/leasehold enquiries.
* Projects – work closely with Leasehold Surveyor on issuing section 20 notices.
* Conveyancing – work closely with Conveyancing Secretary following some more in-depth training to provide more of an understanding of the whole process.
* Making Senior Management aware where complaints may have been raised or issues have not been dealt with in a timely manner.
* Ongoing assistance in management of company’s GDPR requirements.
* Ensure the team diary is appropriately managed in line with Lone Working policy.
* CDM management – ongoing support to Head of Property Management & Property Director with CDM project.
* Overall control of stock levels for all offices including stationery, keys, fobs, permits, etc.
* Assistance on preparation, presentation and distribution of Service Charge budgets.
* Arrangement of AGMs including booking venues, etc. Preparation and distribution of minutes post AGM.
* Occasional meet/greet of visitors to the office.
* Other tasks as requested by Senior Managers.
Skills:
* Strong office administration skills.
* Excellent phone etiquette and customer service skills.
* Proficient in data entry and record keeping.
* Excellent time management and organisational skills.
* Proven property industry experience.
* Experience with property management software, such as Resident/Acquaint is preferred but not required.
Salary: Dependent on experience

Pay: £25,000.00-£27,500.00 per year
