Title: Purchasing and Logistics Supervisor
Location: Hybrid 2 days home 3 days office
Reports into: Head of Operations
Deputy: Purchasing and Logistics Executives
Role Overview: To supervise/manage all logistical activities related to Purchase orders placed with Suppliers to ensure that all relevant parties internally and externally are informed and consulted with as appropriate.
Key Responsibilities
•Manage the business support, ensure effective delegation and completion of tasks.
•Act as the "go to person" for the team member, promoting professional development and teamwork.
•Mentoring the team and giving them direction and support
•Provide feedback to team members regarding performance and productivity including carrying out performance reviews.
•Escalation management, focal point for the team and internal departments.
Monitor and report on team performances.•Oversee the day-to-day management of administrative tasks and ensure adherence to operational standards.
•Implement and maintain efficient administrative processes and systems.
•Improving current processes and defining new ones, ensuring best practice is adopted by the team.
•Liaise with internal departments to facilitate collaborative projects and initiatives.
•Serve as a key point of contact for internal stakeholders, managing inquiries and requests effectively.
•Daily operations control - resource & team performance management
•Take ownership of allocated projects and work in partnership with the Departmental managers / supervisors.
•Raise Purchase orders with European and oversea suppliers.
•Coordinate the movement of products/materials into the country in accordance with organizational policy and procedure, and to comply with relevant local, country, international law and process.
•Manage the necessary documentation for the efficient, cost-effective, and lawful execution of all import activities.
•Communicate as necessary with all export- and import-related parties, and suppliers, in all relevant territories and countries, as necessary to ensure efficient, positive, and lawful relations, support and activities.
•Use personal judgement and initiative to develop effective and constructive solutions to challenges and obstacles in import/export activity and procedures.
•Monitoring all Purchase order statuses to make sure procurement / stock replenishment is not at risk.
•Execute distribution activities and liaise with Product Management and Warehousing on all matters influenced by or reliant upon import/export activities.
•Liaising with Accounts Payable to ensure that invoices match prices agreed with supplier and monitor payments made to supplier and logistic companies on time.
•Investigate, plan and implement strategically effective and relevant transport methods, which are optimal for the needs of the organization and its suppliers and customers.
•Inquiring regular freight rates and keep Product Management and Operations informed.
•React to problems professionally and proactively.
Technical Kills
•3-5 years’ work experience within logistics and supply chain
•Familiar with Incoterms 2020
•Knowledge of import and export procedures
•Must be adept in use of MS Office 2000 or later, particularly Excel and Word, Internet, email and CRM & ERP experience (SAP S/4, MM module)
