As a vital team member you will provide excellent administration and communication skills and work flexibly in response to the service needs. You will provide day to day support whilst being the point of contact for the Clinical team.
You will have strong interpersonal and organisational skills, be computer literate and be able to use a variety of systems including Excel and Microsoft Office, possess excellent time management skills along with the ability to manage competing demands and priorities.
Main duties of the job
This is a very varied role and would suit someone who is highly motivated and capable of working on their own initiative, with a medium level of supervision.
This is an exciting opportunity for a committed individual to join the Administrative Team and assist in the smooth running of the service.
This will include:
* Provide a range of administrative duties. Respond to queries, dealing with routine matters and passing on more complex queries to the appropriate member of staff. Provide day to day support to clinical teams, team leader and colleagues.
* Work collaboratively with clinical teams, team leader, colleagues and other departments to ensure that all cases are dealt with in a timely manner.
* Attend and participate in team meetings and administrative service meetings as required.
* General data inputting, also including referrals and discharges, ensuring data is completed accurately, timely and proactively.
* Producing letters linked to this data using Trust IT systems.
* Participating in own supervision meetings, and workbook conversations.
* Be the first point of contact for the team or department, greeting visitors, answering telephones, taking and forwarding messages, ensuring that all telephone and personal callers receive a prompt, courteous, non-judgmental and well-informed response.
* Minuting team meetings as required.
* Recording of staff supervisions/ Appraisals.
* Monitoring of waiting lists.

Person Specification
Qualifications
* NVQ Level 3 in Customer Care or Business Administration - or equivalent experience
* Demonstrable commitment to continuous personal development.
Knowledge
* Awareness of issues in the Mental Health Network.
* Knowledge of a range of administrative procedures and practice.
* Interest in current issues particular to a Foundation Trust and the network.
* Knowledge of NHS management processes.
Experience
* Previous experience as a Secretary/Administrator including diary management.
* Previous experience of working in a fast moving, confidential, sensitive, pressurised deadline driven environment.
* Experience of supporting and minuting meetings.
* Experience of working within an MDT preferably within an NHS environment.
Other
* Willingness to travel to different locations within the network/Trust.
Skills
* Ability to communicate effectively at all levels using e-mail, telephone or face to face.
* Able to demonstrate skills in Organising and prioritising of diaries and schedules.
* Ability to deal with confidential and sensitive issues with tact.
* Capable of working under pressure and using own initiative; able to prioritise workload.
