Find out more about the benefits of working for the University of Birmingham Role Summary The University’s Strategic Plan, ’Birmingham 2030’ places great emphasis on the recruitment of international students and development of strategic international partnerships. The International Recruitment Administrator provides professional administrative and logistical support for the International Recruitment team, managing several important functional processes which enable the team to meet the University’s ambitious student recruitment targets. Main Duties Agent administrative support involving processing data to support the International Recruitment Team in optimising its relationships with agents. Tasks will include: Verification of a large volume of commission claims which involves the cross-checking of applicant data, confirming applicant tuition fees and processing payments to agents. Ongoing and close engagement with colleagues from the International Recruitment Team and Finance tears will be required to ensure the verification is carried out swiftly and accurately. The attachment of agent details to applications submitted to the University throughout the recruitment cycle, using the University's internal records systems. This will involve close engagement with overseas agents and colleagues within the Admissions team. Organise logistics for recruitment events: Ensure that all necessary arrangements are in place for overseas recruitment events, including the registration of participants, preparation of relevant promotional materials and the organisation of freight arrangements for each event. Coordination of on-campus events involving incoming visitors throughout the year. Events are likely to range from small to large scale projects which will require good organisational skills and a high level attention to detail. Brief staff members participating in recruitment events on progress in arranging event logistics and provide a final briefing on arrangements prior to the event taking place. Provide administrative support for budgets within the International Recruitment Team to a high standard. This will involve: Processing of transactions, including cash advances, corporate credit cards and foreign currency transactions. The post-holder will be required to use the University's finance systems in addition to maintaining the office's own financial records. Support for other recruitment-related activities: Supporting the University's presence at virtual recruitment and conversion events. Engaging with current students and student societies to generate content for promotional materials. Reviewing online content and developing international web pages in support of colleagues and requiring approval of line manager before any such amendments or pages are published. Moderate own behaviour to avoid unfair discriminatory impact or bias on others. Required Knowledge, Skills, Qualifications, Experience Level of knowledge and/or educational qualifications required: General education to at least GCSE level, including a pass in English, and in mathematics, or other evidence of numeracy. Computer literacy, including experience of electronic communications as well as Word processing, database and spreadsheet packages. Experience of administering budgets, payments and transactions desirable. Skills/ Attributes required: Essential Excellent interpersonal skills, to be able to deal with contacts at all levels, whether dealing with students, academic staff, or external contacts such as vice-chancellors/embassy officials. Good communication skills (including tactful and confident telephone manner); Accuracy and attention to detail. Excellent organisational abilities to manage a demanding workload. Ability to work on own initiative, manage time effectively, progress tasks concurrently and work to deadlines. Computer-literate: articulate, confident, and competent in the use of database systems, electronic communications, spreadsheets. Cultural sensitivity: awareness of the international perspective of the work of the department in terms of the diversity of the student body and our relationships with overseas organisations. An understanding of what equality and diversity is and why it is important, including an ability to learn about relevant policies and procedures relating to equality and diversity. An ability to identify equality and diversity issues and either address these or bring them to the attention of a manager. Desirable Fluent in Mandarin speaking and writing. Prior administrative experience in a busy office; familiarity with an academic and/or marketing environment would be advantageous.
