Job Title: Property Administrator Responsible to : Raby Land Agent Liaising with: CEO, Property Manager, Business Support Manager, other managers and key employees Location: Raby Estate Office, Staindrop, DL2 3NF Hours: 37.5 hours per week as per contract Salary: As per contract Job Ref: VA186-2025 INTRODUCTION: The Raby Estate comprises substantial landholdings and trading operations in Co. Durham and Shropshire that are owned by Lord Barnard. Raby Castle near Staindrop has been the home of the Vane family for generations and is open to visitors. Lord and Lady Barnard seek to develop the Castle and grounds so that it becomes one of the foremost visitor attractions in the North. Agriculture is also an important source of income for the Estate. As well as the Estate’s own Home Farm in Raby Park, there are many tenanted farms and a large number of houses and cottages in villages around Teesdale, many are whitewashed farmsteads and houses where families have been tenants for several generations. Ownerships across Raby’s landholdings vary between Lord Barnard personally and assorted settlements including the Shropshire 1991 Settlement, Raby Maintenance Fund, the Raby Settled Estates and Lord Barnard’s 2018 Marwood Settlement. Raby Estate business operations include in-house farms, let farms and residential property, visitor attractions and sporting enterprises across 3 Estates in Co. Durham and Shropshire. The Property Administrator will be based in the Raby Estate Office in Staindrop and as a key member of the Estate Management team will have a crucial role in supporting the development of the Estate’s property related business activities across Co. Durham and Shropshire. Overview of role: To support the work of the CEO, Raby Land Agent, Property Manager and other managers in the Raby Estate Office. To provide comprehensive property management and administrative support. To support delivery of the Raby digital property management systems. Job Requirements: Flexible approach to duties undertaken Ability to work within a team or on own initiative as required Effective communication and organisational skills Honesty and a high level of integrity Enthusiasm and capacity for hard work Attention to detail Systematic and cheerful approach with a ‘can do’ attitude Key Responsibilities: General Support Comprehensive diary management, including notification of events, scheduling meetings, managing diary clashes, ensuring enough time between meetings for travel etc. Provision of comprehensive secretarial support including preparation of correspondence, preparation and collation of the formal meeting papers and tenancy agreements. Respond and reply to e-mail as directed. Screen and take messages and provide a response where appropriate. Provide support to the estate management team with specific projects e.g. acquisitions, property development. Administration including telephone management and handling any enquiries for the Properties team. Liaison with other Departments and activity associated with Estate Office interfaces. Supporting the Raby Land Agent in maintaining the Landmark property database, Land Registry and other property records. Such other duties as may be required from time to time by the Raby Land Agent. Administration support to others as required and as agreed with the Raby Land Agent. Property Portfolio Management of residential, commercial & agricultural property records across Co. Durham and Shropshire. Assisting Property Manager with letting of vacant properties. Preparing documentation associated with lease, licence renewals and rent reviews. Management of Key Properties record and Estate property database. Management of deposits held under Tenant Deposit Scheme. All filing and administration support to the above. Undertake digital mapping activity associated with any part of the Estate. Sporting Assisting Raby Land Agent with organisation of calendar for let shoot days. All advertising, promotion and contracts for the let shoot days in conjunction with the Raby Land Agent.
