Administrator / Operations Administration Assistant who is highly organised and pro-active with excellent interpersonal and communication skills is required for a well-established company based in Warwick, Warwickshire, West Midlands.
SALARY: £26,000 per annum

WORKING HOURS: 37.5 Hours per Week, Monday to Friday-9am to 5pm
JOB OVERVIEW
We have a fantastic new job opportunity for an Administrator / Operations Administration Assistant who is highly organised and pro-active with excellent interpersonal and communication skills.
Working as an Administrator / Operations Administration Assistant you will be required to support the efficient operation of the Office, including bookings and machinery service delivery.
As an Administrator / Operations Administration Assistant you will be predominantly working with colleagues in the office whilst having direct contact with other members of staff and external stakeholders.
DUTIES
1. Answer incoming telephone calls being the first point of contact for internal and external stakeholders
2. Responding to customer requests, dealing with all enquiries and queries
3. Make all bookings with external suppliers
4. Raising purchase orders on Sage accounting system
5. Responsible for the day-to-day management of the service delivery
6. Planning, booking and organising services, breakdowns and repairs understanding SLAs for each customer
7. Processing parts orders and managing stocks, ensuring availability for our engineers
8. Maintaining the master spreadsheet detailing all machinery and relevant information
9. Use the Out on-Site portal for booking engineer’s work
10. Be aware of new machinery, delivery dates and servicing requirements to aid updating of the master spreadsheet
11. Liaise with finance for all client invoicing
12. Producing a monthly update on current machinery and service/repair data
13. Filing and any other administration tasks as required by the organisation
CANDIDATE REQUIREMENTS
1. Excellent communication skills, both written and verbal
2. Proficient customer service skills with the confidence to effectively communicate via telephone when resolving queries
3. Good working knowledge of Microsoft Office
4. Strong numeracy skills and attention to detail to process data and information accurately
5. Ability to prioritise own workload with minimal supervision and use of own initiative
6. Highly organised with a proactive natured based approach
7. Team player with a flexible approach
8. A knowledge of Sage 50 would be desirable but not essential
