An opportunity has arisen for a Band 3 Administrator in a multi-disciplinary team, working with other administrators and health and social care professionals to develop the ethos of multi-disciplinary, integrated care and seamless services ensuring that patient care is delivered to the highest possible standard. As an Administrator working under the general direction of the Senior Hub Coordinator, you will undertake a range of administrative duties. Develop and maintain administrative systems, procedures, and records to enable the team to deliver effective community services and to ensure that the office environment is safe, appropriately maintained, and equipped. You will be required to participate in a rota to provide cover between 08:00 and 19:00 Monday to Friday and occasional weekend/Bank Holiday working. You will be required to be flexible and able to provide cover for other teams, which may involve working at different locations within the Locality.
Main duties of the job
1. Carry out activities to support clinical triage of referrals for community care and track patients through care pathways across primary, secondary, and acute settings.
2. Schedule visits to patients on behalf of Clinicians and Assistants using electronic systems where available.
3. Answer telephone calls as appropriate to the protocols of the service.
4. Input and retrieve data using IT systems, ensuring that all information taken is recorded quickly and accurately.
5. Communicate effectively and consistently both with colleagues and callers to the service whilst retaining the ability to remain calm in difficult situations.
6. Prioritise calls requiring immediate attention of a clinician or outside agency such as NCUHT and NWAS.
7. Recognise and action needs of callers and GPs requiring other services e.g. Mental Health Crisis Intervention team, Social Services, and Third Sector.
8. Prepare reports and letters in relation to patient care.
9. Respond appropriately to enquiries from other services and patients, referring to other members of the team when necessary.
10. Ensure adequate clinical and office supply stocks are available for teams.
11. Produce performance monitoring reports as required by Senior Hub homes.

Person Specification
Qualifications
* Level 2 NVQ in Business Admin or equivalent relevant business subject.
* GCSE Maths and English or equivalent grade C or above.
* ECDL or equivalent.
Experience
* Able to demonstrate previous office experience.
* Able to demonstrate experience of regular working with electronic management information systems.
* Able to demonstrate ability to work without direct supervision.
* Able to demonstrate experience of telephone and electronic communication within own job and with external organisations.
* Experience of health or social care environments.
Knowledge
* Able to demonstrate understanding of office procedures and relevant statutory regulations.
* Able to demonstrate working knowledge of Microsoft Outlook and Microsoft Office.
* Able to demonstrate understanding of issues related to confidentiality.
* General understanding of relevant legislation e.g. Data Protection, Health and Safety.
* Familiarity with patient administration systems.
* Knowledge of health and social care systems across Cumbria.
* Able to demonstrate excellent written, verbal communication skills, polite and tactful telephone manner.
* IT skills including word processing, spreadsheets, data capture and processing, desktop publishing.
