This role involves managing a central database that processes all referrals to Approved Premises (APs) within the south west/south central area. The role requires attention to detail, good communication and engagement skills, ability to work under pressure, and teamwork. The post holder will liaise regularly with AP Managers, Community Probation Practitioners, and PDU Heads.
Overview of the Job
This is an administrative job within the National Probation Service.
Summary
The jobholder will provide administrative support within the National Probation Service (NPS), ensuring that staff and service users are supported through efficient processes, maintaining administration systems within specified timescales to promote the achievement of team and Divisional objectives.
The job holder must demonstrate a commitment to equality and inclusion in line with NPS policies and procedures.
This role may involve some out-of-hours work and requires adherence to policies regarding the sensitive/confidential nature of the information handled.
Responsibilities, Activities & Duties
1. Set up and maintain accurate offender and victim information on relevant approved databases.
2. Ensure effective administration of referrals and relationships between offender management, victims, interventions, service providers, and external agencies to enhance positive outcomes.
3. Prepare, maintain, and collate case and other records, files, and management information.
4. Receive and distribute information and communications appropriately.
5. Provide cover for an effective reception and telephone enquiry service.
6. Act as a single point of contact within the unit for specialist areas of work as required.
7. Deal effectively with service users, especially those in crisis or distress.
8. Make practical arrangements for the implementation of the Sentence Plan.
9. Carry out enforcement administration as required.
10. Issue petty cash/vouchers/warrants for travel costs, maintaining appropriate records.
11. Organise the availability of appropriate equipment, materials, and facilities for case management.
12. Report faulty equipment and/or materials to the Manager.
13. Maintain systems for effective use of unit resources and recommend improvements.
14. Undertake specific Visor administration tasks as required.
15. Attend meetings and provide support, including organising agendas and taking minutes.
16. Ensure all activities are in accordance with Health and Safety policies.
17. Provide cover within the unit and other units as appropriate.
18. Carry out safeguarding children duties as per NPS statutory responsibilities.
19. Demonstrate pro-social modelling skills by reinforcing pro-social behaviour.
20. Work within the aims and values of NPS and NOMS.

Working Arrangements & Further Information
The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites, and/or from home.
For nationally advertised roles, the successful candidate(s) will be appointed to a MoJ office location, which may include their nearest Justice Collaboration Centre or Justice Satellite Office.
Standard full-time working hours are 37 hours per week excluding breaks which are unpaid.
