We are seeking ahighly organised and professional Front of House &Facilities Coordinator to oversee the daytoday operations of aprominent building in Leeds City Centre. In this role you willmanage frontofhouse operations act as a key point of contact fortenants and support building facilities management. Additionallyyou will assist the wider team remotely managing the clientsportfolio of buildings via a helpdesk system ensuring smoothservice delivery across multiplesites.
Front of House &Facilities Management:
Be the first pointof contact for all visitors and tenants ensuring a warmprofessional welcome.
Provide exceptional customer servicehandling queries and issues efficiently.
Manage thereception area ensuring it is always presentable and reflective ofthe companys standards.
Coordinate incoming and outgoingmail and deliveries.
Oversee daytoday building operationsensuring that facilities are maintained to a highstandard.
Coordinate with external contractors and serviceproviders for building maintenance cleaning andrepairs.
Ensure compliance with health and safetyregulations within the building.
Manage service schedulesinspections and general upkeep.
Prepare and submit weeklyreports to the Account Manager on building operations tenant issuescontractor performance and any ongoingprojects.
TenantManagement:
Develop and maintain strongrelationships with tenants understanding their needs andconcerns.
Act as the liaison between tenants and buildingmanagement escalating any issues to the appropriateteams.
Organise and manage tenant communication includingupdates on building services maintenance and other relevantinformation.
HelpdeskSupport:
Provide remote support to thewider team managing additional buildings in the clients portfoliovia the helpdesk system.
Respond to tenant requests andqueries for multiple sites ensuring prompt and efficientresolution.
Liaise with onsite teams to coordinateservices and solutions remotely.
Manage risk assessmentsystems ensuring building operations meet health safety andcompliance standards.
Keep all facilities managementsystems databases and documentation up todate.
KeyRequirements:
Proven experience infrontofhouse facilities management or a similar role ideally withina commercial property environment.
Excellent interpersonaland communication skills with a customerfocusedapproach.
Strong organisational skills and attention todetail.
Experience managing contractors engineers andservice providers.
Proficiency in using Teams &Microsoft Office (Outlook Word Excel)
Knowledge of healthsafety and compliance regulations is an advantage.
Abilityto manage multiple tasks prioritise effectively and workindependently.
