Role: Office Assistant Location: Great Suffolk Street, London, SE1 0BE. What you'll be doing: Manage the facilities, and consult with building managers and other key contacts such as the cleaning company and arranging repairs when needed Maintain the keyholder/fob register for the office Ensure the office is well maintained and tidy Proactively co-ordinate the provision of refreshments for meetings Ensure meeting rooms are kept in good order and equipment is in working order Be the point of contact for suppliers Meet and greet clients and staff in a professional manner Deal with any complaints, ensuring that they are accurately logged, followed up on, and resolved Distribute incoming mail and arrange couriers for local/oversees deliveries B e p oint of contact for new starters and work with HR and line managers for first day inductions Work closely with Health and Safety to ensure the office is fully compliant with regulations e.g., appropriate number of fire marshals and first aiders Maintain the overall tidiness of the office Work closely with IT and department heads to ensure office-based distribution lists are well maintained and up to date Manage office IT equipment, liaising with IT engineers to resolve any issues Providing administration support across the office where required Working closely with key staff members across the group Maintaining effective communication across key stakeholders Co-ordinating office events Organising meetings Collaborating closely with MD’s and Senior Managers and dealing with any ad-hoc requests Attend meetings and take minutes when required Fire warden and first aider You will have: Essential: Hands on experience with office IT equipment Previous experience in a similar role Proficiency in MS Office Calm under pressure Personal Qualities: Possess a friendly, helpful and outgoing personality A high standard of verbal and written communication Flexible and adaptable to changing priorities A creative mind with the ability to suggest improvements Resourceful and practical with the ability to solve problems quickly and effectively Positive attitude Benefits & Perks: 23 days holiday, plus bank holidays (increases with length of service capped at 27).
