As the Executive PA to the directors, you will be a vital part of the team, bringing organisation, energy and enthusiasm to a job that is both challenging and rewarding. This will be a demanding and fast-paced role for an experienced PA who has high standards and is used to a varied workload.
The successful candidate will need the ability to prioritise and remain focused under pressure; have flexibility, adaptability and change responsiveness in an atmosphere of constantly shifting priorities.
Purpose
To provide all-round administrative and organisational support to the directors, organising and efficiently managing the directors’ diaries and day-to-day workload.
1. Reading, monitoring and responding to the directors’ email, as requested
2. Answering calls and handling queries
3. Preparing correspondence on the directors’ behalf
4. Organising office functions/meetings
5. Ensuring internal and external projects are tracked and managed within deadlines
6. Commissioning work on the directors’ behalf
7. Compiling financial information and chasing payments where appropriate
8. Sourcing any items required by the directors and negotiating prices
9. Liaising with managers, staff and clients
10. Liaising with suppliers, utilities and site contractors
11. Attending meetings, sometimes as the directors’ representative and writing minutes
12. Managing the directors’ electronic diaries
13. Planning, organising and managing events and meetings for the directors
14. Conducting research on the internet
15. Writing reports, executive summaries and any necessary documents
16. Preparing presentations and papers for meetings
17. Managing and reviewing filing and office systems
18. Understanding and use of Excel spreadsheets
19. Being a confidante and handling sensitive information confidentially
20. Looking at creative ways to support the business and the directors
The list of duties is not exhaustive and flexibility is required, in terms of what the Executive Assistant may be required to undertake, in order to deliver rounded support to the directors.
1. Diary is managed and organised accurately and in the limitations of the directors’ availability
2. All tasks are completed efficiently and in unison with the needs of the directors
3. Proactively preparing for directors’ appointments and anticipating needs through an established relationship with the directors and the needs of the business
