Pilgrims Hospices are looking to recruit an experienced Finance Manager to lead an existing finance function and support the Director of Finance. The postholder will be required to lead a small team in meeting reporting deadlines for monthly management accounts and statutory requirements. There will be a significant focus on developing and improving financial systems to maximise the effectiveness of financial processes throughout the organisation, and the successful applicant will be required to forge and maintain strong relationships with colleagues within the Finance department, local management teams and in the wider organisation.
The ideal candidate will be ACA/CIMA/ACCA qualified/part qualified.
DUTIES AND KEY RESPONSIBILITIES
Accounting
1. Responsible for the management and maintenance of the Sage 200 accounting system, the WAP purchase ordering system and the Webexpenses expenses application.
2. Overseeing the ongoing implementation of the purchase ordering system across the organisation, liaising with IT Support company with the training of staff as required.
3. To develop, maintain and monitor internal financial policies and procedures, and ensure their continued effectiveness.
4. Ensuring accurate, relevant up to date financial information for the Pilgrims Hospices Group (PHG), primarily the preparation of monthly management accounts for the group.
5. To prepare detailed monthly Retail management accounts for the Income Generation Director and Retail Business Manager, to report on the performance of the 32 retail shops.
6. To prepare the Lottery management accounts, to ensure the financial information is robust and reconciled for Lottery Manager and gambling commission.
7. Responsible for quarterly group VAT returns with partial exemption calculations and MTD.
8. Ensure the observance of the procurement policy and senior management team colleagues obtain value for money for goods and services they procure.
9. Attend Finance Business Partnership meetings with senior budget holders to review their budgets and discuss the reasons for variances.
10. Lead in organising the financial documentation and programme for the annual external audit, including reviewing and uploading audit deliverables to the auditors’ portal.
11. Process and reconcile the monthly payroll produced by the Ciphr HR system, ensuring payments to HMRC, pensions providers, and other government bodies.
12. Oversee the operational functioning of all financial transactions, Income and Expenditure, ensuring it is compliant with charity regulations and SORP.
13. Oversight of the charity’s commercial bank accounts and other financial services providers (e.g. Worldpay), ensuring the charity is obtaining the best possible return on any balances and investments held in them.
14. Overseeing the management of the income earned from the Pilgrims rental estate.
15. Organising non-Finance colleagues with their annual stock take.
16. Assisting the Director of Finance with the annual budgeting round and the mid-year review of budgets.
17. Define clear objectives for Finance personnel.
18. Responsible for the management of Finance Team, mentoring and coaching and driving personnel development.
19. Ensure cross training with all Finance staff, so there is adequate covering during holidays.
20. Motivating the Finance Team to build their financial skill set.
21. Undertaking the annual Performance Development Reviews (PDR) for the Finance team and to identify appropriate training courses and development opportunities.
Relationships
1. Build, develop and sustain professional ongoing working relationships with key staff across the organization.
2. Build and maintain relationships with suppliers and key partners such as the charity’s bankers and external contract manager for finance systems and suppliers.
Systems
1. Identify opportunities to streamline processes within the team and implement new.
2. Ensure compliance with all financial processes and.
3. Assist the Director of Finance in carrying out a continuous review of policies and procedures and assist in implementing.
