The Dunes Hotel is a fantastic 40-bedroom hotel Located in the South Lakes, just 20 minutes from the Lake District. We are seeking to recruit an experienced and passionate weddings and events coordinator to join our team and help us to both grow and deliver our expanding events offering into the future. Sales
* Working alongside our sales manager to become fully integrated into the sales processes in place at the hotel for weddings, conference, parties and private hire events.
* Responding to enquiries promptly with accuracy.
* Showing couples, families and conference enquiry bookings around the venue and grounds with passion, knowledge and a big smile. Following up with couples and answering any questions.
* Sending T&Cs, booking couples in and planning our future diary with accuracy.
* Understanding our reception booking system and using this for events bookings and all the information associated.
* Working with the reception team when required.
* Working closely with our sales manager to work on ideas for marketing our offering more widely, sharing ideas on packages, advertising and our website.
Planning and event coordination
* Ensuring all couples' questions are answered promptly with warmth and friendliness, giving ideas where possible, be it by email, phone or in person.
* Conducting full planning meetings before couples' big days, ensuring all aspects of the day are covered, from suppliers, to time plan, to drinks and everything in between.
* Ensuring everything is prepped, ready and looking pristine for couples and their big days.
* Liaising with couples, families and event planners who are using us for an event, gathering all the information required such as table plans, guest lists, entertainment details and much more.
* Producing detailed planning documents for each event and presenting these to the operations team in a weekly Heads of Department (HOD) meeting.
* Working with the kitchen and front of house operations team to provide specific requirements and help plan timings for staffing and set up.
* Planning for and running special seasonal events such as Christmas party nights and packages, themed evenings, Valentine’s Day and much much more.
Event running and coordination
* Welcoming couples and families the day before their wedding or event and ensuring they are at ease and know the logistics of everything, guiding them through the entire journey with reassuring warmth.
* Ensuring the wedding or event space is set up to the exact specifications of the client in advance of their arrival.
* Coordinating the actual wedding day, being the main point of contact for couples, guests, suppliers and the team of staff working at The Dunes.
* Ensuring every aspect of The Dunes is as it should be, beautifully presented, clean and pristine, from initial viewing to the wedding or event day itself.
* Working alongside the front of house team during the duration of events and weddings, covering all aspects of the delivery.
* Being trained to work alongside the front of house team on other aspects of their role during periods with fewer weddings and events.
* Responsibility for the safe keeping, storage and use of any equipment and decorations used during events and weddings, keeping an up to date inventory of items we have available for hire or use.
Third party suppliers
* Building strong relationships with suppliers we use as part of our packages and ensuring that these are booked effectively.
* Exploring options and gaining cost-effective solutions for booking requiring entertainment provided by us, such as coach parties.
* Planning and organising wedding fayres and open days to showcase our venue and local suppliers.
* Ensuring all documentation is provided for all 3rd party suppliers on request.

* Previous Wedding and/or Event Manager experience.

Pay: £12.00-£14.00 per hour
