Job Title: PA Administrator & Reception (Fixed term) Division : Weir Minerals Location: Onsite, Todmorden PURPOSE OF ROLE We have a temporary opening for an enthusiastic, proactive, and exceptionally organized PA Administrator & Reception. The chosen candidate will serve as the initial point of contact for our guests, embodying the warm and welcoming spirit of Weir. Your role will encompass supporting employees in maintaining seamless operations and delivering crucial assistance to our team. KEY RESPONSIBILITIES: Greet and welcome visitors, ensuring a positive and professional experience. Answer incoming calls, direct them to the appropriate personnel, and take messages when necessary. Maintain a tidy and organized reception area. Finding flight / hotel options online and making bookings Follow lodge card process for travel bookings Make taxi bookings, record details on spreadsheet, process taxi invoices Serve as a central point of contact for internal and external inquiries, ensuring prompt and accurate responses. Book hire cars Load training onto Workday Administer long service awards Maintain weekly whereabouts templates on Excel and manage weekly reminders Check and collate availability for meetings, training and internal events Support site visits, training events and meetings, eg, room set up, catering requirements, PPE General admin including printing, binding documents, obtaining signatures, mail handling etc Demonstrate 100% commitment to our zero harm behaviors in support of our drive towards developing a world class safety culture. JOB KNOWLEDGE/EDUCATION AND QUALIFICATIONS: You’ll be extremely well organised, with high levels of integrity, discretion and initiative. You will have demonstrable ability of building strong relationships with senior leaders and colleagues across all levels of the business. You are experienced in prioritising and delivering a workload received from a number of senior executives, with minimal direction. You are extremely comfortable with Microsoft Office (Outlook, Excel, Word, PowerPoint) and internet research You are patient, approachable and flexible, with a mature outlook and the diplomacy to reach effective work solutions with varied personality types. You have a bias for action, are resourceful and able to find opportunities, propose solutions, and drive execution Your experience of delivering work to very high standard at pace and under pressure, whilst maintaining confidentiality and positivity, are all things that will set you apart.
