BossaNova are seeking an Executive Assistant to support their CEO. The ideal candidate will bring solid experience of providing 1:1 support while working closely with the wider leadership team, in a fast-paced environment. Please note that the role is office based, with occasional working from home. Key Tasks: The Executive Assistant will be happy to be the go-to person for the office. Typical duties will include: Diary management for complex schedules - managing changing priorities, keeping on top of diary clashes and ensuring CEO's time is proactively managed Meeting management support: ensuring CEO and attendees have all the required information ahead of meetings including details including location, directions and printed documents Booking and planning travel arrangements - Preparing and managing itineraries for international business travel and events, arranging flights, visas, transfers and hotels and managing all logistics Preparing and submitting expenses for Senior Team, ensuring all paperwork is complete and that supporting documents are provided Liaising with clients and producing partners, arranging meetings and entertaining events on behalf of the CEO and other senior leaders in the UK office Organise refreshments and meeting rooms for external meetings Coordinating and booking meeting rooms, arranging catering, AV as required Manage office inventory Manage office post Provide general administrative support Perform duties of an office Health and Safety representative Office Management including facilities administration, supplier relationship management, liaising with the landlord etc Attending meetings and taking minutes ensuring follow up of actions and progress updates Holiday cover for other positions within the business Assist with ad hoc projects as required Build a network across other distributors / producers and channels becoming the hub for the team Required Skills and Competencies: 3 years experience within a similar role A high degree of discretion and integrity, used to working with confidential information Will need to be confident, articulate, extremely proactive and able to act on their initiative Able to demonstrate excellent written and communication skills and have an adaptable can-do attitude towards work Able to prioritise demands and have excellent attention to detail. The candidate should have strong organisational skills, be able to influence others to meet deadlines and be able to keep calm under pressure Tech savvy with strong skills in MS Office suite and virtual meeting systems Pro-active approach with a 'can do' attitude and takes initiative A strong team player
