Job Role: Secretary at University Halls Location: Stranmillis, Belfast Hours: Monday to Thursday - 09.00am to 5:00pm Friday - 09:00-4:00pm Pay rate: £14 per hour Duration: 6 MONTH MIN, WITH POSSIBILITY OF EXT Your responsibilities: 1. To provide a comprehensive and confidential administrative service to the Hospitality, Accommodation, and Conferencing Services Co-ordinator and Head of HACS. 2. To oversee all of the work carried out in the Halls Office including that of the administrative assistant. 3. Responsible for the administration of halls applications, the allocation of rooms and the issuing contracts. 4. To assist in the registration of students including the issue of Halls Identity cards, Keys and signing of the register. 5. Prepare a financial spreadsheet calculating the Halls resident's fees to be processed by the Finance Office. 6. To routinely engage with internal departments e.g. Finance, Marketing, HR, Head of Departments and Principal's Office. 7. To liaise with the Accommodation Officer at the Queen's University. 8. To process wages cards for submission to the Finance Office. 9. To prepare accounts for halls damages and to maintain the Halls Damages Account Book. 10. To be responsible for the sale of laundry tokens. 11. To be responsible for all financial transactions received, petty cash, prepare bank lodgments and end of day reconciliations. 12. To maintain the Halls Directory on computer database and to circulate amendments. 13. To respond to enquiries from students, conference delegates and members of the public. 14. To prepare such statistical information as may be required. 15. To undertake such other duties which may be assigned. You will have: * At least five GCSE passes or equivalent at Grade C or higher level qualification, to include qualifications that demonstrate literacy / proficiency in English language and numeracy. * At least three year's recent administration experience, preferably working in further or higher education in a student facing role. * Excellent IT skills, with demonstrable experience of using Microsoft Word, Excel and Outlook. * Excellent communication skills, both oral and written. * Proven ability to work with a high level of accuracy in a deadline-driven environment. * Evidence of the ability to work as part of a team. * Experience of working in an environment in which confidentiality must be maintained.
