Role and Responsibilities: Manage global vendors across Scientific Affairs by maintaining oversight and performance governance of the outsourced activities, while developing partnerships. Support the deployment of an efficient and cost-effective outsourcing approach by ensuring Mundipharma is receiving services under the most competitive conditions. Negotiate and finalize new contracts as well as renegotiating existing contracts to optimize cost savings. Implement improvement initiatives in vendor management practices, manage vendor related risks and issues, and collaborate cross-functionally to align with overall business objectives Key Responsibilities: Work with the function and procurement to ensure that the content of Work Orders for external engagements is representative of the work required. Collaborate with the function and finance team to ensure effective budget tracking and management, proactively seek efficiencies where possible. Monitor Purchase Orders, values for contracts and running rates for key vendors. Act as a liaison point for the central procurement function with assessing, contracting and onboarding new vendors, ensuring effective governance and appropriate processes and quality measures are in place. Creation & implementation of Governance Charters & Oversights plans for key Vendors Manage Requests for Information (RFI) and Requests for Proposal (RFP) activities and support contract negotiations with vendors Ensure vendor personnel are up to date with SOP and other required training and maintain records of the training. Manage potential risks in collaboration with the function, procurement, study team, vendor management lead, as needed. Conduct vendor meetings to address these. Maintain a vendor risk assessment framework to identify and mitigate potential risks associated with key vendors. Manage issues and develop mitigation strategies in collaboration with the function, procurement, study team, vendor management lead, as needed. Conduct vendor meetings to address these. Maintain an issue and action log to track issues, resolutions and ongoing items to ensure timely follow up with key vendors. Escalate as needed. Monitor Performance of vendor activities against projected budget to meet budgetary requirements. Financial administration; monitoring invoice payments, raising POs & eCAFs for approval and uploading these into the finance system. Ensure that the MSA and SoW with all key vendors are maintained up to date and appropriate for the activities they perform. Set and track relevant metrics for vendors, escalating performance concerns where required and work with Stakeholders to find effective solutions to any performance issues arising. What you’ll bring: Good understanding of the structure of a pharmaceutical company and clear understanding of the activities handled by Scientific Affairs department Strong ownership and problem-solving skills. Project management and planning capabilities. Excellent negotiation skills especially with regards to commissioning and overseeing vendor service delivery. Excellent communication skills and ability to engage with partners effectively. Excellent collaborator with strong customer and stakeholder focus. Analytical skills for invoice tracking. Familiarity with procurement processes, including RFI and RFP management.
