Role summary
To support and assist the Facility Services Group Contract Manager in day-to-day operations and administrative duties. Reporting directly to the Facility Services Group Contract Manager, the Contract Supervisor role is responsible for carrying out key tasks to assist and support with the organisation of maintenance inspections, follow-on remedial and reactive works so maintaining the compliance, efficiency and up time of company assets.
Principle accountabilities
* Support the Facility Services (FS) Group Contract Manager with all aspects of Master Service Agreement (MSA) contract management where appropriate, including planning and overseeing routine service visits, remedial works and responding to reactive breakdowns of assets, access requests and contractor supervision and checking / signing off works completed.
* Raise Purchase Requests for submission, on behalf of the FS Contract Manager. Liaise with the Facility Services Coordinators to ensure all expenditure is recorded accurately on the Facility Service departmental Budget Tracker as well as on Pinewood’s Finance system.
* Processing and checking of all contract invoices prior to submitting to the Group Contract Manager for approval and payment sign off approval.
* Assist with management of the electronic filing system for all documents i.e. service sheets and delivery notes to be able to document service history, legislative compliance and asset lifecycle management.
* Logging and processing data that is logged onto the CAFM system, including reactive incidents for contractors under MSA and supporting the Customer Services helpdesk team by processing works logged via the web form or CAFM system inbox.
* Provide an informed and proactive communications link for job progress updates between FS, Operations and Helpdesk.
* Responsible for maintaining the upkeep of all “live” asset registers on SharePoint. This includes updating asset lists when assets are replaced by other areas of the business i.e. Projects, Property etc.
* Manage the visitor checking in process for all contractors, ranging from informing Reception / Security of expected visitors and contractors, arranging Studio ID for regular contractors, monitoring and tracking keys issued to contractors under the care of the FS team and booking of contractor site inductions with H&S as required.
* Support with coordinating availability of the department’s plant and vehicles for inspections or repairs by third party contractors.
* Work alongside the Group Contracts Manager to proactively increase asset uptime and mitigate downtime and repairs timescales as much as possible to improve client experience.
* Monitor and compile information on asset lifecycle and reliability to allow informed decisions to be made on asset replacement programmes for compilation of annual budgets.
* Be responsible for expenditure of associated reactive budget lines and call out costs to ensure best prices and efficiencies for works are achieved.
* Work efficiently in a Group role across both Pinewood and Shepperton sites as required in line with servicing schedules and staffing levels.
Nature and scope
Works within clearly defined processes to support the smooth running for FS Contractors. Complex issues would be escalated to the FS Group Contracts Manager.
Skills And Experience
Essential criteria
* GCSE Maths and English
* Previous experience using a CAFM system
* Proven ability through shooting problems
* Experience in customer service, to enable confidence when dealing with customers / tenants
* Familiar with MS Office, including MS Word, Excel and Outlook
* Able to process, record and analyse information accurately
* Clear, concise communicator
* Motivated and able to work quickly and efficiently
* Forward planner
* Excellent attention to detail
* Able to commute to Pinewood and Shepperton as required
