Overall Role Purpose
As the Executive Assistant, you will play a pivotal role in supporting our Station Manager and contributing to the smooth operation of our corporate office. From managing complex schedules to coordinating with diverse stakeholders, your ability to anticipate needs, solve problems, and maintain confidentiality will ensure the success of our team and organisation.
Key Responsibilities:
1. Manage the Station Manager’s calendar, organise meetings (including catering), and prepare detailed minutes.
2. Coordinate domestic and international travel, ensuring seamless itineraries and accommodation.
3. Assist with preparing presentations, keynote speeches, and data collection.
4. Track critical initiatives and ensure timely follow-up on key actions.
5. Manage multiple email accounts and handle correspondence with efficiency and professionalism.
6. Organize team meetings, employee functions, and engagement activities.
7. Support HR functions, uphold confidentiality, and oversee reception operations.
8. Facilitate OH&S activities, serve as Return-to-Work Officer, and ensure workplace compliance.
9. Facilitate and ensure compliance with OH&S standards and maintain a safe work environment.
Key Skills and Qualifications:
1. Minimum 3–5 years of experience in executive support within a fast-paced, agile corporate environment.
2. Proficient in Microsoft Office and other administrative systems.
3. Exceptional organisational skills with an eye for detail and accuracy.
4. Strong communication, negotiation, and interpersonal skills.
5. Ability to work effectively across geographical and time zones.
6. Proven track record of managing competing priorities while maintaining a positive and proactive attitude.
7. High level of integrity and confidentiality.
8. Resilience, flexibility, and a solution-oriented mindset.
