Our client is looking for a bright, conscientious individual to join as an Office Administrator. You will be assisting the Advisers, Paraplanners, and Client Relationship Executives with a variety of tasks.
Main Duties
* Valuations: Preparing client valuations – gathering details of client holdings and updating the database accordingly.
* Fact Finds: Scanning and inputting all Fact Finds completed by the Advisers into the Back Office system.
* Scanning: As directed by team members, scanning documents to the correct location.
* Post Duties: Opening post and distributing it to team members. Ensuring that all post is franked at the end of the working day.
* File Maintenance: Setting up client files for the Admin Team.
* Database Maintenance: Setting up new clients in the Back Office system and inputting client financial plans. Ensuring amendments are made when client details change.
* Client Meeting Preparation: Ensuring the meeting room is set up for client meetings and preparing refreshments as directed. Occasionally meeting and greeting clients.
* Diary Maintenance: Ensuring that client review meetings and valuations are set up in the diary.
* Fee/Commission Entry: Inputting figures from providers' statements into an Excel spreadsheet.
* Ad Hoc Duties: Any other duties as directed by the Business Manager and/or Directors.
Skills Required
Qualifications/Knowledge/Experience required:
* A minimum of C grades in English and Mathematics at GCSE level
* A Levels or equivalent
* Knowledge of Word and Excel
* Ability to confidently communicate with clients and team members via phone and face-to-face.
Personal Attributes:
* Friendly
* Able to communicate well – both verbal and written
* Good organisational skills
* A good team player with the ability to work under their own initiative and manage priorities/deadlines
* Methodical, ordered, and structured approach to tasks and working with numbers.
* Must have previous experience on the phone.
