Directorate Business Administrator : Band 4
An exciting opportunity has arisen to join our Directorate Administration Team, within the Acute and Urgent Care Directorate. This is a hugely rewarding and unique administration role which will give you an excellent insight into acute inpatient services. It will also provide you with lifelong skills in dealing with challenging situations as well as the ability to work in an ever-changing environment where you can contribute to positive changes in the NHS and society as a whole.
Main duties of the job
To be responsible for the provision of an administrative and clerical support function to consultants/managers/teams within a defined area. This role involves supporting the Administration and Clerical function for the assigned Directorate, as well as cross-covering for peers in other directorates as required.
Job responsibilities
1. Provide dedicated administration support to the Directorate Senior Management Team.
2. Responsible for day-to-day supervision of other office staff, including allocating and checking the work of others and undertaking Appraisals, sickness management meetings, and performance management when required.
3. Plan and organise complex activities or programmes for self and team, requiring formulation or adjustment.
4. Arrange and co-ordinate meetings with internal and external partners, and arrange events for the directorate at external venues.
5. Take accurate minutes for Directorate meetings and other meetings as required.
6. Manage the diary for the Associate Directorate, including confirming attendance, circulating papers, and booking venues.
7. Ensure monthly reports and minutes are collated from clinical teams and corporate partners.
8. Arrange on-call rotas.
9. Undertake word processing of all documents to a high standard, in an agreed Trust style and using an appropriate referencing system.
10. Utilise IT packages such as Word, Excel, and PowerPoint competently.
11. Develop and supervise maintenance of filing systems (electronic and paper) to ensure effective access to relevant information.
12. Prioritise own workload on a day-to-day basis to ensure that deadlines are met.
13. Act as a central point of contact for external and internal callers, making judgements regarding appropriate dissemination of key information.
14. Plan key work-streams as part of a project.
15. Staff or work planning to meet organisational requirements.
Qualifications
* Diploma in Business Administration or equivalent training in relevant area.
Experience
* Substantial experience of a range of relevant procedures and software programmes, and ability to provide examples of own application of these.
