Temporary Administrator - Adult Social Care

Working Hours: 35-37 Monday – Friday, normal working hours

This is the front door for Adult Social Care. The phone lines are busy and the administrator will need to be able to use the LAS system to support call taking. Calls may be for advice, signposting, queries on open cases or creation of new cases. Calls can be sensitive in nature.
Key Responsibilities:
* Preparing documents, letters, reports, presentations, and emails to the highest standard of accuracy and presentation.
* Assisting the Administration Manager with electronic diaries and booking of meetings and visits as required.
* Coordinating bungalow calendars ensuring meetings and appointments are logged, rooms booked, and reporting deadlines noted.
* Providing support to the Administration Manager for the coordination of and preparation for termly Governor’s meetings and other priority appointments and meetings.
* Arranging meetings, booking rooms, circulating information, minute taking, and chasing outstanding actions as required.
* Monitoring and implementing effective admin systems and continually reviewing and updating where necessary.
* Maintaining and regularly updating management information systems, e.g. Social Care Service Desk, SIMs, logging Body Maps, and Accident/Incident/Medical Error Forms.
* Receiving and screening telephone calls, ordering stationery, and items for the residential bungalows while adhering to set budgets.
Qualifications:
* GCSE Grade C or above, or equivalent in English and Math.
* ICT Qualification, e.g. CLAIT, ECDL - desirable.
Knowledge:
* Knowledge and understanding of educational, residential or health setting - desirable.
Experience:
* Experience of working in a busy office and able to present a professional approach.
Skills & Abilities:
* Excellent organisational and administrative skills.
* Excellent oral and written communication skills, and ability to communicate clearly and effectively face-to-face and on the telephone.
* Ability to communicate with a variety of groups, e.g. young people, young adults, parents, staff, external agencies, Governors, and Trustees.
* Able to prioritise, manage workload and delegate appropriately.
* Able to work as part of a team and independently, using own initiative.
