We are seeking a talented Event Logistics Manager to join a leading global technology company on a 12 month fixed term contract.
About the Role
As an Event Logistics Manager, you will play a pivotal role in planning and delivering logistics for a diverse range of events, including conferences, leadership summits, receptions, and more. You will work closely with internal teams, external agencies, and vendors to ensure seamless operations and outstanding attendee experiences. The role also involves managing group travel and supporting critical logistics for VIPs and delegates.
Key Responsibilities
In this role, you will:
* Collaborate with the Events Programs team to ensure alignment on event objectives and logistics delivery.
* Build strong relationships with internal stakeholders and external partners across multiple projects.
* Research, identify, and secure venues that meet event requirements while staying within budget.
* Develop efficient online and onsite registration processes for large-scale events, overseeing delegate accreditation.
* Coordinate delegate travel, accommodation, and transportation logistics.
* Create comprehensive communication plans for delegates before, during, and after events.
* Provide onsite support to attendees, addressing inquiries and resolving issues promptly.
* Plan and manage food and beverage requirements for events, including catering coordination and dietary considerations.
* Implement branding strategies to ensure consistent application across event materials and signage.
* Organize social activities, meetups, and poster sessions for delegates at international conferences.
* Ensure compliance with health and safety regulations by developing safety plans and managing security measures.
* Manage event logistics budgets effectively while tracking expenses.
* Continuously improve processes to enhance event experiences.
We are looking for someone who is:
* Detail-oriented with extensive experience in event logistics and delegate management for major events (500+)
* A natural problem solver who thrives in dynamic environments.
* Experienced in planning international events with an understanding of cultural nuances.
* Skilled in managing multiple complex projects simultaneously from start to finish.
* Proficient in budget management with strong organizational skills.
* Confident in verbal and written communication at all levels.
* Collaborative by nature but capable of working independently when needed.
* Adaptable to change and able to work at pace while navigating ambiguity.
* Passionate about creating exceptional experiences for attendees.
* Happy to travel internationally.
