Are you proficient in managing complex schedules, coordinating high-level meetings, and delivering reliable administrative and communication support? At BTS, we are looking for a skilled Executive Assistant to provide high-level support to our BTS Director and Senior Leadership Team. In this role, you’ll be crucial in ensuring the smooth running of daily operations, managing executive-level correspondence, overseeing internal and external communications, and contributing to shaping the BTS employer brand. What you'll be doing: Provide high-level executive support to the BTS Director, including diary management, meeting coordination, and administrative assistance. Ensure the BTS Director and Senior Leadership Team are fully prepared for meetings by organising agendas, briefing packs, and capturing key actions. Oversee internal and external communications, creating clear, engaging messages for various stakeholders and managing BTS communication channels. Coordinate and facilitate key BTS meetings, including weekly update calls, monthly town halls, and governance sessions. Manage travel arrangements for UK and international trips, ensuring seamless itineraries, visa arrangements, and logistical support. Organise and oversee VIP visits, liaising with senior stakeholders across ABF to ensure efficient planning. Support financial administration by raising purchase orders, managing BTS invoicing, and handling recharge processes. Shape and promote the BTS employer brand by maintaining social media presence, overseeing intranet content, and supporting wellbeing and inclusion initiatives. What you'll bring: Extensive experience providing executive-level support at Director or C-suite level. Proficient organisational and time management skills, with the ability to anticipate needs and prioritise effectively. Solid interpersonal and communication skills, able to engage seamlessly with senior stakeholders. Advanced proficiency in IT tools including Outlook, Teams, Word, Excel, PowerPoint, Adobe, and DocuSign. Experience managing internal and external communications, with the ability to craft clear, engaging messages. Ability to coordinate complex diaries, meetings, and travel arrangements. A proactive and adaptable mindset, able to work in an environment with changing priorities. Experience using Microsoft SharePoint for communication and content management.
