Job Profile Summary: dual role, responsible for booking orders and supporting the Operations Team within the lifts & escalators side of the business.
Order Administrator tasks are to ensure we verify completeness and quality of order information and book agreed jobs and contracts to KONE systems.
Project Administrator tasks are to support the Project Manager by performing project management tasks that do not require decision making. These include monitoring and maintenance of the project financial forecast, as well as correct posting of actual costs.
Key Responsibilities:
Order Management
1. Accountable for correct and timely booking of received orders.
2. Validates the project categorization.
3. Ensures that order booking absolutes have been met and quality of required deliverables is adequate for order booking.
4. Ensures the consistency and quality of planned revenue and cost plan before order booking.
5. Responsible for the correct configuration of the agreed billing plans under agreed conditions.
6. Verifies profitability of the project.
7. Verifies and completes customer parties and other order data.
8. Manages and completes all role assignments.
9. Verifies planned installation hours, as well as correct and realistic high-level scheduling.
10. Provides Order Booking information to Operations.
Project Admin
1. Is responsible for monitoring and updating cost forecast with actuals.
2. Is responsible for the correct creation in the system of the requisitions upon Supervisor and Project Manager request, ensuring all needed information is filled in.
3. Monitors actual costs vs. plans and reports deviations. Prepares revenue and cost plan status information for forecast reviews.
4. Is responsible for use of correct activities and cost elements in the booking of actual costs.
5. Manages the administration of change orders / variation sales.
6. Responsible for ensuring correct system status management for sales recognition of the orders, for their closing and for preparing them to be archived.
Requirements:
1. Basic knowledge of Microsoft Excel
2. Outlook
Systems used:
1. SAP
2. Salesforce and KTOC
3. Microsoft Teams
Key skills & Experiences:
1. Experience in reporting, data management and general admin.
2. Effective communication and able to communicate at all levels.
3. Good written & spoken English.
4. Highly organized, detail-oriented and ability to multi-task at ease.
