Job Title: HR Administrator (Fixed Term Contract - 6 Months) Salary: £25,000 Responsible to: HR Business Partner Location / Base: Cardiff (option for hybrid working) Hours: 37 Main purpose of the Role: This is a key project role to support the HR Team with the launch of a new HR information system across the organisation. The role will focus on the collation and cleansing of our colleagues data to ensure our new HRIS is launched with accurate and up to date information to provide maximum benefit to our colleagues and the organisation. Working closely with all departments but particularly the People Team, Payroll and projects team this project role will be vital to ensuring the successful launch of a new HR System and new ways of working for the HR Team and colleagues. In addition the role will have the opportunity to have exposure to a range of HR Administration activities that are carried out by the People Team and will be a part of implementing new, and enhancing existing HR processes To role must be able to provide strong systems and administrative support to enhance our colleagues experience and help the People Team during a period of change as Cartrefi launches a new people strategy that will support the growth and performance of the organisation. Key Responsibilities : HR Systems and Data Lead on the cleansing of colleague data from the HR & Payroll system Implement processes to update colleague data that is require for new HRIS Establish processes that allow the cleansing of current system data Ensure colleague data is accurately uploaded and maintained in our HR Systems Use the HR Systems for producing ad hoc reporting on HR and colleague data Actively use the HR Systems for reporting and analysing data to ensure data is accurate and up to date Maintain electronic personnel folders ensuring compliance with weeding and retention schedules and data protection HR Administrative Support & compliance Provide a high quality HR Administrative support across the full range of administration duties that occur throughout the colleague employment lifecycle including but not limited to the new starter process, leaver process, contractual changes, parental leave, absence management. Ensure changes which impact colleagues’ salary and monthly payroll are actioned in a timely and accurate manner, in collaboration with the HR Advisors, Business Partners and Payroll. Support the People Team to implement procedures to ensure the timely updating and processing of changes to colleagues data. Apply a good working knowledge of HR policies, procedures and administrative systems to respond to enquiries from colleagues, managers and external customers Actively support and have involvement in HR Projects as required. Ensure a professional approach is always delivered with particular emphasis on maintaining confidentiality. Ensure HR administration processes comply with employment legislation and regulatory requirements.
