The role will be based in the M365 Digital KIM Operations team within the Data Knowledge and Information Management (DKIM) function in the Cabinet Office. The team will facilitate the delivery of the Cabinet Office's priorities and purpose through providing information and records management services. The Cabinet Office creates some of the most important official records in government, including Prime Ministerial records, and the M365 Ops team will play a key role in managing digital records in line with legislation. The post-holder will work to the Head of M365 Digital KIM Operations and will work collaboratively with other team members, stakeholders, Information Management Leads, and Library Managers. This is a new role providing assistance in managing Records and Information Management across the M365 environment.
Main Responsibilities
* Provide information and records management specialist MS365 services to meet the requirements of the organisation including advising and leading on the creation, design, and administration of Teams and SharePoint sites and Google Drives.
* Provide support to Cabinet Office staff at all levels on information management, security, and governance through training, communications, and proactive engagement.
* Monitor usage and adherence to policies within Google Drives, SharePoint Sites, and Teams.
* Escalate policy violations to the appropriate Information Management Lead and the DKIM Head of Operations.
* Manage the Site Directory, run reports, and carry out appropriate checks for unused and orphaned Sites/Teams.
* Support and define the governance for the effective management of M365 and Google through regular compliance checks, liaising with business unit Information Management Leaders and Library/Site Managers as appropriate around Teams and Sites provisioning.
* Ensure that the organisation's IT procedure managing digital records in line with legislation and processes are followed at all times.
* Be able to work independently with minimal supervision.
