Role Overview As the Deputy Manager, you will report directly to the Centre Manager and take the lead in managing the administrative operations of a busy Wellbeing Centre. From overseeing efficient diary management to managing patient records and billing, your role is pivotal in ensuring a seamless patient experience and effective clinic operations. Key Responsibilities Efficiently manage clinic schedules, coordinating appointments, room bookings, and prioritising events. Oversee patient referrals and waiting lists, ensuring accurate data entry and tracking in Salesforce. Respond promptly and professionally to complaints, adhering to internal policies. Maintain up-to-date and accurate patient records, ensuring compliance with confidentiality regulations. Generate reports and analyse data to support operational efficiency and quality improvement. Provide comprehensive administrative support to internal and external clients, handling queries and gathering feedback. Supervise the billing process, debt management, financial tracking, and invoice processing. Coordinate supplies and procurement using the purchase order system. Manage electronic consent forms using DocuSign and ensure all consultant correspondence follows policy guidelines. Line manage the reception and administrative team, ensuring full reception cover and effective training. Support promotional activities for therapy packages and manage feedback collection to enhance service quality. What We’re Looking For Proven experience in administrative management within a healthcare setting. At least Experience in Leadership. Excellent organisational and multitasking skills, with a proactive approach to problem-solving. Strong knowledge of healthcare administration systems and processes. Outstanding communication skills, both written and verbal, with an exemplary telephone manner. Proficiency in Microsoft Office applications and database management. Why Join Us?
