Salary: £34,000 per annum, plus company benefits
Location: The role is based in our Manchester office, with 2 days a week in Manchester, 0.5 days in Leeds, and 1 day a week in Cardiff (which will then move to bi-weekly visits). The remaining time offered as a hybrid option.
Contract: 1 year FTC then moving to permanent
Shifts: 40 hours a week, Monday – Friday 9am – 6pm

Purpose of role

The Facilities Assistant will provide a range of services which are central to the smooth operation of the business; these services include facilities and health & safety support. It is a broad role involving maintaining processes, working to time schedules, and providing excellent service delivery. The Facilities Assistant will act as a ‘point of contact’ for the Manchester and Leeds office and will support the Cardiff office. This is a new role, therefore the individual will need to support the Head of Workspace Operations with developing the role. It will be a hands-on role, where nothing is too small; it will involve working at a number of levels.
The successful applicant will report into the Concierge Team Leader and Head of Workplace Operations.
Key responsibilities
1. Supporting stock levels of office consumables
2. Assisting with contractors on site
3. Liaising with management to ensure relevant paperwork (work permits etc.) is in place
4. Supporting with security and access passes for building access
5. Assisting with day-to-day H&S compliance
6. Supporting management with H&S audits and assessments
7. Receiving instruction from management regarding general maintenance which may include decorating, general upkeeping, defects reporting, repairing of fabric and furnishings, lighting maintenance, electrical and plumbing repairs, fire system checks, and office moves
8. Adhering to the high quality of service delivery across the offices
9. Supporting the implementation of standardized processes for facilities
10. Maintaining continuous lines of communication with Head of Workplace Operations, keeping them informed of all critical issues and information
11. Partnering with the Head of Workplace Operations and adhering to appropriate corporate policies, internal controls, and reporting
12. Escalating operational and compliance risk areas
Personal attributes
1. Over 1 year experience and a proven track record in a facilities role
2. Demonstrated record of implementing solutions that have permanently resolved difficult situations
3. Excellent customer service skills with a service-minded approach towards the firm employees
4. PC literate including the use of Microsoft Word, Excel, PowerPoint
5. Legal, Professional Services or Corporate background
6. Previous experience of working with senior professionals in a professional services environment
