Are you an experienced automotive professional with a passion for customer service and organisation? Auto Team Mechanics is seeking a skilled and proactive Office Manager to oversee the daily operations of our busy workshop. As the first point of contact for our customers, you’ll play a key role in delivering a seamless service experience while managing office administration and workshop coordination.

Auto Team Mechanics has been a trusted name in the industry for over 20 years, providing expert vehicle repairs and servicing from our workshop in Rectory Farm, Horsham. We pride ourselves on offering reliable, high-quality service with a focus on customer satisfaction. Our team of skilled mechanics works on a wide range of vehicles, and our reputation is built on honesty, expertise, and exceptional workmanship.
We’re now looking for an experienced Office Manager who understands the motor trade and can confidently manage customer inquiries, job scheduling, and workshop administration.
Key Responsibilities:
* Front of House Management: Handle reception duties, greet customers, schedule jobs, and answer telephone and email inquiries professionally.
* Job Processing & Administration: Create estimates, process transactions, order parts, generate job cards, raise invoices, and handle payments using our internal system.
* Customer Communication: Keep customers updated on their vehicle’s progress and provide knowledgeable support regarding repairs and servicing.
* Supplier Coordination: Liaise with suppliers and motor industry representatives to ensure timely delivery of parts and materials.
* Workshop Support: Assist the team with workflow management, ensuring jobs are scheduled efficiently.
* Payroll & Accounts: Submit paperwork and team hours for payroll and assist with financial administration.
* Problem Solving & Process Improvement: Take initiative to refine office operations and enhance customer experience.
Skills & Qualifications:
* Previous experience in the motor trade is essential—whether in a workshop, parts department, or service desk role.
* Strong verbal and written communication skills.
* Mechanical knowledge or workshop experience preferred (but not essential).
* Ability to multitask in a fast-paced environment.
* Excellent customer service skills and a professional manner.
* Proactive problem-solving mindset with attention to detail.
* Strong organisational and administrative abilities.
* A full UK driving license (due to our rural location).
