Job Title: Operations Supervisor
Main Purpose of Job:
The Operations Supervisor will support the Operations Manager in overseeing the production and stock management processes to ensure that all activities from order intake to completion are efficient and aligned with organisational standards, including Health and Safety compliance. This role will also assist with coordinating communications across departments, maintaining project documentation, and supporting the smooth execution of production schedules.
Reports To: Operations General Manager
Main Tasks of the Job:
1. Production Coordination
o Assist with Production Schedules: Aid the Operations Manager in planning and organising production schedules, ensuring that each new order is tracked and completed on time.
o Communication with Teams: Work with sales and installations teams to ensure accurate information is gathered for each order and communicated effectively to relevant staff.
o Support Work in Progress Management: Monitor the "Work In Progress" Teams channel, tracking updates and sharing critical communications between departments.
o Check Build of Materials (BOM) Verification: Ensure accurate materials lists are created and verified, working closely with the Office Administrator and Sales Director.
2. Stock Management Support
o Monitor Inventory Allocations: Oversee stock allocations and parts picking for each sales order, supporting the Buyer and Storeman.
o Order Tracking and Supplier Coordination: Track supplier quotations, lead times, and order statuses, and update the team on expected delivery dates.
o Non-Stock Components: Assist with checking that non-stock components are received, recorded, and added to the physical job box for easy tracking.
o Quarterly Stock Takes: Assist in preparing and conducting quarterly stock takes, in coordination with the Operations Manager, to ensure inventory accuracy.
3. Customer and Team Communications
o Customer Updates: Assist the Operations Manager in updating customers regarding due dates, estimated work start dates, and any potential delays.
o Installation Schedules Coordination: Help manage installation schedules by coordinating with the Installations team, monitoring engineer availability, and ensuring that customers are informed of start dates.
o Preparation of RA/MS Documentation: Work with the Sales and Installations teams to support the completion of Risk Assessments and Method Statements (RA/MS) before project initiation.
o Post-Completion Documentation: Liaise with the Installations team to gather documentation needed for the Operations and Manuals (O&M) pack and ensure timely handover to the customer.
4. Documentation and Quality Assurance
o Maintain Job Documentation: Assist with maintaining and updating project documentation on Teams and SharePoint, including supplier certifications and job files.
o WIP Channel Updates: Record relevant communications (emails, texts, calls, and discussions) in the Work In Progress channel, ensuring a comprehensive timeline and audit trail for each project.
o Archiving Completed Files: Ensure all completed job files are properly archived on SharePoint and Teams for audit and reference purposes.
5. Health and Safety Compliance
o Safety Standards Monitoring: Ensure that Health and Safety standards are followed across all production activities and report any issues or non-compliance to the Operations Manager.
o Support Risk Management Practices: Support the Operations Manager in implementing safe work practices and maintaining an environment that prioritizes worker and customer safety.
6. Continuous Improvement
o Process Improvement: Actively participate in improving production, scheduling, and stock management processes and offer feedback and suggestions for increased efficiency.
o System Updates: Support the implementation of updates to the stock management and production tracking systems.

Job Type: Full-time
Pay: £23,880.00-£35,000.00 per year
