Job Title : Maintenance Coordinator Job role : To plan and manage all maintenance teams, that carry out regular maintenance to domestic customers gardens / grounds maintenance to commercial sites. Key responsibilities & accountabilities: To manage and support team leaders in their daily tasks to ensure their rounds are kept to the same high standards. To carry out regular site checks and give feedback to team leaders and follow processes in operations manual to deal with any issues arising from site visits. To build and develop relationships with customers and managing agents to gain more work. To liaise with the Office Manager daily, as both parties deal with the maintenance teams, so communication is essential. To communicate with all staff members to keep workplace morale. To be on hand for staff sickness in the mornings to amend team changes. General responsibilities & accountabilities: To use the provided rota to plan each day, making the most productive use of time, but considering any of our client’s specific timing requirements. To make sure the tools on-board the vehicles are suitable for the tasks during that day. To work safely according to the company health and safety policy, and to carry out risk assessments and record in the maintenance folder. To pro-actively pursue additional work with existing clients, for example lawn care, and to pursue additional work with new clients. To communicate these leads with company management for further action. To communicate with company management on any issues with tools or clients by telephone, text or email in a timely fashion. To keep the tools, equipment and vehicles in good working order, including carrying out any minor routine maintenance tasks and servicing, for example: greasing. To ensure the van cabs swept out and free of litter and debris, and to make sure the outside of vehicle is clean. To provide quarterly remits on all big sites and provide a presentation. To provide fortnightly work plans for static sites to ensure staff are following rotational system. To communicate with sub-contractors on additional works such as tree surgeons. To communicate with tool mechanic and van fleet mechanics on the best approach for efficiency and cost saving. To carry out regular site visits checking all areas are covered on our visits, and notes/photos taken for our next visit for the team’s attention. To order materials/stock required for maintenance teams, ie: weed & moss killer, tonne bags, two stroke, line marking paint, PPE, etc. To reply to any email enquiries or complaints received within an appropriate lead time. To meet onsite with Property Managers or customers to rectify any issues/complaints or additional works required. Essential : Full UK manual driving licence required / DBS will be undertaken / Management experience required or at least Supervisor experience. Garden Maintenance experience preferred. Salary is dependent on experience.
