JOB TITLE: Service Operations Officer
RESPONSIBLE TO: Charity Manager
RESPONSIBLE FOR: Admin/Communications officer
HOURS PER WEEK: 30-34 hours (To be discussed)
SALARY: £28k to 30k per annum (dependent on experience and qualifications) pro rata
BASE: Office based (Handforth)
MAIN ROLE
* Support to the day to day running of the charity including:
* Overseeing general operational tasks outlined below
* Completing all routine finance functions
* Maintaining Time Out Group systems for the charity to operate and function
AREAS OF WORK, TASKS AND RESPONSIBILITIES
* Finance - responsible for the day to day running of our financial systems using QuickBooks and supporting banking software. This will include:
o Prompt invoice payments to our vendors, in accordance with authorisation procedures
o Raising all invoices to our members on a timely basis
o Banking: activity deposits and assignments, bank reconciliations, transfers between accounts utilising various software packages such as QuickBooks and act as point of contact with the external charity accountant
o Payroll: point of contact with our external payroll services provider, processing timesheets, preparing monthly payroll and payments
o Utilities negotiations
o Financial project performance monitoring, working closely with the Charity Manager and Project Manager
o Liaising with the Treasurer to generate cash flow and P&L reports
o Responsible for adhering to and developing the financial systems and control processes
* Being the point of contact for team on behalf of the premises including communications with the leaseholders and maintenance of the building
* Purchasing supplies mapped against budgets on behalf of the team
* Supporting the IT infrastructure for the team
* Day to day line management of the Admin/Communications officer
* Ensuring all subscriptions are up to date such as insurances, IT software and financial software
* Assisting with our bid writer(s) in gathering relevant financial information
* Assisting the Charity Manager and the Deputy Manager with the day to day running of projects and assisting where possible in outcomes measurements, setting up methods and reports for accurately recording income and expenditure
* To maintain a broad understanding of the work of Time Out Group as a whole, and actively contribute your ideas for the improvement of service provision
* Responsible for own development and maintaining technical and professional knowledge relevant to the post in consultation with your Manager
* Attendance to and involvement in team meetings and our Annual General Meeting
* To develop and maintain effective working relationships with colleagues
* To adhere to all Time Out Group’s policies and procedures
Attendance of regular 121s every 6-8 weeks.
Attending appropriate training (to be consulted with your manager in your 121).
The employee should be prepared to perform other duties that may be necessary from time to time, falling within the remit of responsibility of this post and appropriate under the charitable objects and development plan.
