We are looking for an Operations Assistant to manage and verify the invoicing process for our warehouse operation. As our Operations Assistant, you will have exceptional EXCEL skills, first-class numerical abilities, analysis skills, and be a highly methodical administrator. OVERVIEW OF THE ROLE
Working closely with the Operations Manager, you will be responsible for ensuring the correct invoices are submitted to the finance department in relation to the 3rd Party Warehouse operation, making sure there are no overpayments on inbound containers or order shipments.
THE IDEAL CANDIDATE
You will be a highly methodical, process-driven individual with an exceptional eye for detail, good investigatory skills, a real problem solver, and highly tenacious to ensure all the invoices submitted from the 3PL Warehouse are absolutely correct.
ROLE AND RESPONSIBILITIES
1. Responsible for signing off all transport and warehouse invoices on a weekly basis.
2. Querying and requesting copy invoices/credit notes where applicable.
3. Resolving issues; checking multiple discrepancies, investigate issues through to completion.
4. Check that deliveries come into warehouse to deadline, query invoices on delayed deliveries.
5. Extensive liaison with warehouse manager mainly via email.
6. Uploading invoices onto in-house portal.
7. Responsible for the management of Amazon account - raising all orders and updating the Amazon portal with all correct information and uploading new lines.
8. Assisting with any stock discrepancies, liaising with warehouse team and customer support team until resolved.
9. Operations administration.
10. KPI and warehouse reporting.
11. Project management i.e., looking at transport pricing, export clearance pricing, transport volumes, etc.
SKILLS REQUIRED FOR THE ROLE
1. Advanced EXCEL - VLOOKUPS ideal.
2. Ability and proven experience in analysis of complex information.
3. Exceptional administration skills, highly methodical, process-driven, tenacious with a real eye for details.
4. Excellent written communication skills to ensure resolution of any issues.
5. Strong investigatory skills, genuinely enjoy solving problems and working on detail.
6. Team player.
