We are recruiting for an Office Manager / PA to oversee and coordinate daily office operations at our UK head office in Castle Donington. The successful candidate will perform a variety of high-level organisational and time management tasks to support our company’s Operational Directors and MD, enabling them to maximise their time, adding value to the business through both time, cost, and resource efficiencies.
Responsibilities include managing calendars, making travel arrangements, organising and preparing for meetings and sales conference and preparing expense reports.
Responsibilities:
* Act as the point of contact for Head Office among executives, employees, clients, and other external partners
* Manage information flow in a timely and accurate manner
* Manage executives’ calendars and set up meetings and reminders
* Make travel and accommodation arrangements
* Manage and submit daily expenses and prepare weekly, monthly or quarterly reports
* Act as an office manager
* Format information for internal and external communication – internal comms, emails, presentations, reports
* Attend exec meetings, take minutes and be responsible for ensuring actions are followed up
* Prioritising tasks and demands on Directors time
* Organise and maintain the electronic filing systems
* Arrange bi-weekly Senior Leadership Team meetings, including managing attendance, agendas, and bookings
* Assist Directors to disseminate communications with teams
* Manage office supplies and liaise with vendors to ensure cost effective and timely procurement
* Manage post and deliveries
* Greeting any visitors to the office and coordinating where necessary
What are we looking for?
* Proven experience working as an Office Manager / PA
* Excellent MS Office knowledge
* Outstanding organisational and time management skills
* Familiarity with office applications (e.g., e-calendars and meeting polls)
* Excellent verbal and written communications skills
* Problem solving and decision making
* Discretion and confidentiality
* Business Administration qualification desirable
