A renowned Filmmaker/Photographer/Writer is seeking a highly motivated and extremely technically proficient EA to provide seamless support across all areas of her busy life.
The successful candidate will have a keen interest and experience in film and photography workflow in preproduction, production and post-production including media archiving, editing and digital content organization, sound and video production and book projects developed within the company.
Responsibilities include, but are not limited to:
Personal Assistance
1. Organising and maintaining diaries and making appointments, ensuring the principal is well-prepared for the week’s appointments and meetings.
2. Arranging travel and accommodation and occasionally travelling with the principal to attend meetings or to provide general assistance during projects and presentations.
3. Preparing and issuing weekly schedule for the principal and preparing travel itineraries.
4. Screening telephone calls/emails, enquiries and requests, and handling them appropriately.
5. Filling out required forms for principal and family members, arranging couriers, shipments and mailings.
6. Organising bills for payment by bookkeeper, liaising with accountants and organising and providing documentation they need on a regular basis.
7. Managing Studio events and diary.
8. General office administration: managing contacts database, attending to telephone and email enquiries, distributing post, booking couriers, filing, ordering office supplies.
9. Maintenance, setup, programming, packing and unpacking of all cameras and sound equipment.
10. Overseeing studio IT and administration systems: implementing, maintaining and updating hardware and software systems with IT consultant, managing server and internal filing systems in consultation with Studio Archivist (both digital and physical) and general troubleshooting.
11. Assist in the design, operation and organization of a digital multimedia infrastructure and archive that will facilitate maintenance and management of multimedia archives combining film and video clips, photographs, music, audio files and transcripts, notes, footnotes, bibliographies, etc.
Technical Skills
1. Skilled in Microsoft Office suite (Word, Excel, PowerPoint) and Keynote and Adobe Creative Suite. Proficient in Xero Accounting software.
2. Experience with Macs, iPhone, iPad management and synchronisation of apps and media for devices including media management and iCloud backups.
3. Proficiency with sound equipment and capacity to transfer and manage digital audio files.
4. Management and organization of photography workflow (from transfer of raw files and jpegs to final finished image), through printing, hanging and installation.
5. Experience with research and data archiving software esp. for photography workflows.
6. Experience with managing calendars and schedules and contact databases.
7. Experience creating budgets, schedules, calendars and excel spreadsheets.
8. Some experience of screenwriting software Final Draft desirable but not essential.
