Are you ready to make your mark as part of our Global Operations Team? Then you’ve come to the right place. At White & Case, we’ll support you, give you responsibility and welcome you as an integral member of our diverse, international team from day one.
White & Case LLP is a leading global law firm with a presence in over 30 countries. We are seeking a Global Travel Manager to optimise our travel program. Known for our innovation and commitment to excellence, our rapidly growing firm requires a streamlined and efficient travel program to support our attorneys and business services teams worldwide.
In this role, you will oversee and enhance our travel program, ensuring seamless operations, cost efficiency, and exceptional service across all locations. For the first 1-2 years, you will be instrumental in consolidating our travel services from 20 agents in 30 offices to a single global provider, who currently serves approximately 15 of our offices.
The Global Travel Manager will oversee all aspects of our global travel services, including policies, processes, and TMC relationships, ensuring compliance across all White & Case locations. The role involves optimising travel operations and providing insightful reports to senior management.
Key Responsibilities
Travel Policy and Process Management:
* Developing, reviewing, and maintaining global travel policies with Firm Management and enforcing them globally.
* Aligning and executing global travel programs at the local level with key internal Operations leaders.
* Ensuring TMC adherence to travel-related processes (e.g., pre-approvals, out-of-policy exceptions, preferred hotels) and monitoring industry trends for improvement.
Supplier Negotiations and Management:
* Managing TMC relationships, negotiating contracts with travel suppliers, and collaborating with Procurement.
* Coordinating with TMC and other teams (events, L&D, Recruiting) for special programs requiring separate SOWs, and overseeing hotel programs.
* Monitoring supplier performance, compliance with SLAs, and driving global travel partner performance.
Travel Coordination Across Multiple Locations and Project Management:
* Streamlining travel requirements across locations, ensuring consistent service and approaches.
* Addressing local travel needs, regulatory requirements, and cultural nuances.
* Managing global travel-related projects, including plans, milestones, and interdependencies.
* Defining and tracking KPIs to measure travel program success.
Facilitating Communication:
* Acting as a central communication point between regional teams and suppliers.
* Collaborating with internal stakeholders to understand travel needs and proactively addressing concerns.
* Overseeing the Firm’s intranet Travel pages.
Traveller Safety and Environmental Sustainability:
* Supporting traveller safety and managing Firm risk in collaboration with preferred travel suppliers and the Senior Security Manager.
* Aligning the Firm's travel approach with sustainability objectives and ensuring necessary reporting with the Senior Environmental Sustainability Manager.
Reporting and Analysis:
* Developing and presenting senior management reports on travel projects, expenditure, and program performance.
* Using data-driven insights to propose improvements, differentiating between “Office” and “Matter” spend, and optimising travel spend.
* Identifying actionable insights to enhance traveller experiences and operational efficiency.
Qualifications and Skills
* Degree in Business Administration, Travel Management, or a related field (preferred).
* 8+ years of experience in global travel management within a professional services work environment (preferred).
* Proven expertise in supplier negotiations, contract management, and understanding of corporate travel policies and compliance.
* Experience coordinating travel across multiple international locations and resolving global-local operational challenges.
* Knowledge of travel supplier landscapes, market trends, and travel program governance.
* Demonstrated ability to manage complex travel programs efficiently with excellent project management skills.
* Exceptional communication skills to engage with regional teams, suppliers, and senior management, combined with active listening skills for conflict resolution and problem solving.
* Proficiency in travel management tools, reporting software, and using data to drive decisions and improvements.
* Analytical mindset with a track record of managing complex, cross-regional projects successfully.
