Data Administrator - part time - 2 days a week (14.5hours) - Remote with reasonable in-person meetings (approx. 9-12 per year)
If you have a passion for accuracy, attention to detail and following correct processes, combined with an interest in different systems and databases, come and join our Apprentice Programmes Compliance team. Where no month is the same as the next, you will be responsible for checking and inputting apprentice data ensuring timeliness, compliance with applicable funding rules and providing accurate information and reporting
The role:
Check and input apprentice data ensuring timeliness and compliance with applicable funding rules and data protection requirements, including:
-Enrolling new apprentice starts onto designated management information systems
-Monitoring functional skills enrolments and completions
-Notifying the Learning Support Advisor of any learners with learner support requirements within required timescales
-Assisting with the collation and reconciliation of invoice and finance information
-Assisting with the annual "hard close" process
Assist with administration of completions, withdrawals and BILs, including:
-Sending out correspondence to the learner and employer
-Updating relevant management information systems
-Updating relevant staff of change in apprentice status
Assist the Head of Administration and Systems with accurate and timely reporting, including:
-Running monthly reports resulting from the funding submission
-Running performance reports from management information systems
-Preparing management data in line with the Apprenticeship Accountability Framework
Assist the Head of Administration and Systems and Apprenticeship Co-ordinator with the administration of the onboarding process
Sending and reviewing the employer and applicant documents against eligibility criteria
Assist the Head of Administration and Systems and Apprenticeship Co-ordinator with the routine checking and monitoring of apprenticeship paperwork
Maintain auditable processes and support the Head of Administration and Systems in preparing for both internal and external audit
Updating the Progress Review tabs for Progress Monitoring and update the Training Plan Progress Review section planned vs actual
Assist with the routine production/amendment of delivery plans
Allocate learners to members of staff in line with guidance
Undertake any other duties of a similar level and responsibility as may be required from time to time
What we're looking for:
Essential:
-Educated to Level 2/GCSE standard or equivalent in Math and English to minimum grade C/4
-Experience of data entry and administration processes
-Experience of completing work with a high level of accuracy and to deadlines
-Experience of effective team-work
Desirable:
-Level 3 or equivalent qualification in Business Administration
-Knowledge and understanding of apprenticeship frameworks and standards is highly desirable
-Knowledge and understanding of the administration required for government funded training programmes is highly desirable
-Experience of using Individualised Learning Record is highly desirable
-Knowledge and understanding of Management Information Systems
