Duty Manager IMMEDIATE START | 40 HOURS PER WEEK | 4ON/4OFF SHIFTS We are looking for a talented and energetic individual to be part of our dynamic and friendly Front Office team in the capacity of Duty Manager. ABOUT THE ROLE Your role as Duty Manager will come with the following responsibilities: • Through leadership, direction and supervision ensure that all front desk services are maintained in accordance with the hotel standards • Provide department orientation and training of service standards, procedures and specific programs. • Duties include meeting and greeting guests ensuring the highest standards of guest care and attention • Co-ordination with the Housekeeping and Reservations departments, for all arrivals at the hotel, to ensure that they are handled in an efficient and hospitable manner. • Respond to guest enquiries and coordinate special arrangements and requests from other departments • Resolve guest dissatisfaction by investigating, evaluating, and settling of complaints; following up with guests; personally resolving difficult situations • Assume the responsibilities of Manager on Duty and maintain a visible image of management at all times. • Complete at least two floor walks whilst on duty, record all findings, action all issues and communicate to the relevant persons follow up action required. • Ensure that department standards are met through supervision and monitoring. • Conduct daily departmental briefings in the absence of Assistant General Manager • Good coordination between all departments to ensure guest satisfaction and team member satisfaction. • Manage room inventory, monitor room type availability and control and coordinate full house activities. • Promote the basic habits of smiling, greeting guest by name and thanking guests. • Special attention and care given to VIP's to ensure an overall pleasant and memorable experience is attained. • Ensure seamless workflow and processes at the front desk. • Conduct and attend relevant meetings regularly • Compile and analyse reports and manage stock control to minimise wastage. • Control expenses to achieve maximum profitability without compromising guest services and standards. • Check and approve all cashiering media or paperwork and supervise shift take-over and hand-over procedures. • Take ownership and follow-up on any discrepancies. • Cover night shifts as and when required. • Comply with hotel and department policies and procedures at all times. • Carry out any other duties as and when assigned by the Management of the Hotel and department. Functional Skills, Knowledge and Experience • Previous experience as Front Office Supervisor / Shift Leader or in a similar role gained in a 4/5 environment is ideal • Working knowledge of Opera and Microsoft Office • Contagious personality, energetic & enthusiastic • Confident & humble • Outstanding organisational skills • Excellent communication skills (verbal & written) • Able to work within a team and on own initiative (A Self Starter) Social Skills and Experience To possess the ability to communicate with guests and colleagues in order to project a positive image of the hotel at all times. The ability to maintain hotel standards of work under pressure.
