It is a pivotal role within the organisation providing governance and administration support at a senior level. Overall purpose of the role To run the CEO’s office and assist with their work; to support effective governance and administration for the Board and Leadership team; to contribute to effective communication. It would be great if you had experience in: Demonstratable experience of providing Executive Assistant/Personal Assistant support at executive level, working knowledge of board governance. Skills and knowledge of: Ability to represent the culture and values of the charity to a wide range of stakeholders and to create a positive and appropriate impression on behalf of the CEO; Ability to understand the breadth, range and value of the charity’s work and to articulate its purpose with commitment and passion; Exceptional all-round administrative skills and attention to detail particularly whilst working to deadline. You’ll be responsible for: Run the CEO’s office to exceptionally high administrative standards and with a focus on superb internal and external relationships with tasks to include: Assist with drafting, editing and project management as requested; Act as the first point of contact for all approaches to the CEO and manage correspondence; Manage the diary with all internal and external arrangements in a prompt and efficient way; Support the CEO’s preparation for each day/week; Manage the CEO’s budget and expenses. Assist with governance and Board administration: Board and Committee planning, diaries, resources and communications; Board and Committee pack and materials, collation, proofing and publishing; Board and Committee minutes; Holding trustee information securely and all associated admin for official purposes; Support the delivery of new trustee inductions. Support internal cross-team meetings and large external meetings: Arrange rooms, refreshments, and resources; Collate content and presentations; Prepare agendas, take minutes, prepare paperwork. Support the leadership team with administration: Support leadership team’s diary and administrative needs as requested; Arrange travel and accommodation as required. Support effective internal and external communications: Prepare and distribute internal updates for staff and Board; Run Admin & Ops Updates/Town Halls, preparing speaker lists, presentations and follow up; Undertake correspondence and communications as requested. Other duties: All other duties as may reasonably be required: Undertake other duties appropriate to the seniority of the post and in line with the needs of the organisation. This may involve presenting, acting as a strategic lead on a cross-organisation initiative or peer reviewing for other ACE NPO organisation, for example. Accept appropriate individual responsibility for the observance, promotion and implementation of Health & Safety, Safeguarding, Customer Care, Inclusion, Equity and Diversity, Discrimination, Bullying and Harassment and all other policies with the Trust. Where relevant, ensure appropriate safeguarding is in place for CYP and adults at risk, working closely with relevant colleagues to maintain consistency and high standards.
