The role holder operates as a strategic business partner for our clients, providing them with an extraordinary level of support. They also act as a champion for team engagement and effectiveness aligned with K2’s values. Hours of work 8:30am – 5:30pm Main Duties and Responsibilities Dedicated UK Relocation Manager to support and manage all authorised services, working closely with our counterparts in the wider team managing any other services including household goods. UK destination services will include but are not limited to: Sourcing and booking temporary accommodation School search services Area orientation Home finding assistance Tenancy negotiation Settling in Departures services Renewals Airport transfer and flight bookings Day to day responsibilities Taking accountability for each assignee’s move Prioritising, managing and organising your caseload Conducting a full briefing call on requirements, establishing a relationship and managing the expectations in relation to location and the budget available whilst adhering to client policies Adopt a financial and commercially aware mindset Accurate Invoicing and reporting responsibilities Managing assignees expectation regarding areas, budget and the process of finding a property Joining internal and/or client calls as required Understanding, interpreting and following client policies and procedures Adhering to client policies ensuring that both clients’ and assignees’ expectations are met Ability to speak with clients regarding our core products. Having strong technical knowledge of all products, services, methodology and technologies Accurately updating K2’s operating system in a timely manner and as per company procedures whilst being mindful of data integrity Building up close working relationships with internal and external stakeholders including but not limited to your colleagues, clients, home search consultants, estate agents and education specialists Understand and meet client KPI’s and SLA’s in line with contracts Answering external calls and taking messages Completing any other tasks required by the business as and when needed Area Orientation Provide guidance to the assignee on suitable areas for them/their family Advise on area specifics, such as property prices, local facilities etc Arrange for an accompanied tour of the area/s the assignee is considering, helping them narrow down their choices with a local consultant Home & School Search Services: Co-ordinating home & school search days, liaising with local consultants to oversee the days Placing offers on behalf of assignees, negotiating tenancy terms and progressing paperwork Working with the education specialist to ensure school places are secured Arranging payment of any rent and deposits, when necessary, in line with the client’s policies and/or the assignees criteria Settling In Ascertain the assignees needs in order to provide personalised settling in. Services include, but are not limited to: Accompanied time out to visit facilities Visits to the property to carry out a thorough property walk through o Advise on local amenities such as doctors, dentist Information on obtaining a UK driving licence, bank account etc Departures Serving notice on behalf of the assignee as per the agreement, advising on correct notice periods or negotiating early termination and minimising fees Arranging the end of tenancy cleaning and organising an inventory check-out where necessary Advising the assignee of their responsibilities and guiding them through closing their utilties and council tax Negotiating deposit disputes until a mutual agreement can be reached between client/assignee and managing agent/landlord in a timely manner. Referring any disputes to relevant Tenancy Deposit Scheme when necessary Ensuring deposit is returned safely Experience: Skills /Abilities & Knowledge Knowledge and understanding of UK letting processes Strong negotiation skills when dealing with estate agents and landlords Excellent written and verbal communication skills Exceptional attention to detail and accuracy with data management Consultative and pro-active approach Effective time management and organisational skills Flexibility to adapt to different working styles in an agile environment Ability to: Set and manage realistic expectations with all stakeholders Pro-actively work with external partners Communicate processes effectively Balance common sense and initiative Demonstrate resilience in a fast-paced environment Display confidence and professionalism in all client interactions Think quickly and creatively Identify the need to resolve issues and escalate when necessary Follow processes and procedures Adhere to instructions and use company documentation Multitask and manage a varied workload o Prioritise, with ever changing and conflicting deadlines Work both independently and as part of a team Challenge confidently, in a professional manner Upskill and acquire job role knowledge alongside company training Experience Minimum 3 years of lettings or industry relevant experience Accountability: for GDPR & ISO As part of the role, the job holder will be responsible for the processing of information, which may be special category data by nature.
