About the Opportunity We’re looking for an enthusiastic HR Assistant to join our superstar HR Shared Services Team. As an HR Assistant, you will provide HR Administrative support to all James Fisher Divisions, ensuring that all HR processes throughout the employee lifecycle are completed in an effective and timely manner. This role is vital for the entire HR function, allowing the Divisional HR Team to function effectively, whilst supporting the company’s goals and employee needs. The role will be based in our Bamber Bridge office (1-2 days per week) and we offer hybrid working. Key Responsibilities Administrative Support Ensure accurate and up to date maintenance of employee personnel files and HR databases. Effectively handle confidential information with discretion and comply with data protection regulations. Professionally handle routine correspondence / HR related queries via HR shared service ticketing system and administrative tasks for the HR department. Onboarding Accurate preparation of employment contracts, facilitating the onboarding process for new employees, ensuring completion of all necessary paperwork. Delivery of induction sessions to help integrate new hires into the company. Support in the timely completion of probation process for all new joiners. Benefits Administration Support in the management of employee benefits programs, including health insurance, private health care, retirement plans, and leaver procedure, ensuring that enrolments and changes are processed accurately. Payroll Support Work in collaboration with payroll team to ensure timely and accurate completion of relevant data to assist in payroll preparation. HR System Management Accurate updating and maintaining of employee data within the Human Resources Information System (HRIS), ensuring data accuracy and integrity. Accurate generation of reports (monthly and ad hoc) from the HRIS as required for divisional HR metrics and analysis. Support the administration of Learning and Development events, maintaining training records and the E-Learning platform Compliance and Policy Implementation Ensure all HR documentation is accurate, up-to-date, and compliant with relevant laws and regulations. Update and maintain Group HR documents on company intranet site. Conduct periodic auditing of the HR Shared Services output to ensure compliance and consistency. Maintain compliance with the Company’s auto-enrolment obligations by conducting cyclical re-enrolment assessments and submissions to the Pension Regulator. Employee Relations Provide timely and accurate response to enquiries regarding HR policies, procedures, and programs, escalating issues where necessary. Assist in the coordination and implementation of employee engagement activities and events. Project Support Assist in HR projects and initiatives, contributing to process improvements and supporting the implementation of new HR programs and systems. About the Candidate Practical understanding and experience of key HR processes and practices. Excellent communication and influencing skills. Innovative and creative ‘can do’ attitude and approach. Ability to manage and prioritise a high volume of work. Strong IT skills for communication and documentation (i.e. Word, Excel, PowerPoint). HR qualification, or willingness to work towards (desirable but not essential). Ability to work autonomously and take the initiative. Works collaboratively with others to achieve excellence.
