To provide a front of house reception service for visitors, staff and service users within the clinic, ensuring that all clinics and patient case-notes are maintained to a high standard in accordance with relevant policies.
To provide a front of house reception service to the office, providing directions and information to all visitors, staff and service users of the clinic as requested. Reception duties include:
1. Receiving and booking in service users for clinics.
2. Booking follow-up appointments for clinics and sending out appointment notifications.
3. Answering the telephone and following up any queries generated by telephone calls.
4. Advising staff within the unit of any visitors.
5. Creating new case notes and upkeep and filing of case notes/medical reports to the standard required by the Trust Records Management.
6. Cancelling clinics when requested by the Line Manager/Clinicians and ensuring service users are given a new appointment.
7. Following up cancellations with a letter and, where appropriate, telephoning the service.
8. Actioning electronic systems activity, i.e., data quality monitoring as directed by line management.
9. Inputting electronic clinical documentation/notes or scanning of notes.
10. Accessing and utilising electronic data transfer (EDT).
11. Managing and entering referrals and outpatient appointments onto the computerised Records System and being a point of contact for queries relating to the patient.
12. Complying with health and safety regulations and evacuating the patient area where necessary.
The post holder will be required to follow prescribed work practices and routines. Agreed precedents cover all duties.
