Position Overview:
We are seeking a dynamic and proactive individual with a welcoming telephone manner and strong administrative skills to join our valued team at our Lydden depot. This multifaceted role extends beyond traditional reception duties, encompassing a variety of administrative tasks and process improvement initiatives. The ideal candidate will thrive in a fast-paced environment and actively contribute to enhancing our operational efficiency and online engagement.
Key Responsibilities:
1. Front Desk Management: Serve as the first point of contact for clients, visitors, and staff, ensuring a professional and welcoming reception experience.
2. Communication Handling: Manage a multi-line phone system and handle email correspondence, directing enquiries appropriately and maintaining effective communication channels.
3. Administrative Support: Perform various office tasks, including data entry, filing, document preparation, manage documentation for digital vehicle files and support daily operations.
4. Process Improvement: Identify opportunities for enhancing administrative processes and implement solutions to increase efficiency and productivity.
5. Inventory and PPE Management: Oversee the storage and distribution of Personal Protective Equipment (PPE), ensuring compliance with health and safety standards and maintaining accurate inventory records.
6. Invoice Processing: Prepare, issue, and monitor customer invoices, ensuring accuracy, timely follow-up on accurate data processing and allocating and working to monthly deadlines.
7. Delivery Coordination: Organise and track deliveries, ensuring all documentation is accurate and that deliveries meet customer requirements.
8. Team Collaboration: Work closely with colleagues across departments, contributing to special projects and supporting various administrative functions as needed.

8. Experience: Previous experience in a receptionist or administrative role is preferred.
