Job Title: Receptionist & Administrator

Job Summary
Star Aesthetics is seeking a warm, organized, and proactive Receptionist & Administrator to join our clinic. As the first point of contact for our clients, you will play a key role in delivering an exceptional experience by managing appointments, answering inquiries, and supporting day-to-day administrative operations. This role is ideal for someone with strong communication skills, a passion for aesthetics, and an eye for detail.
Key Responsibilities
1. Client Reception & Communication
o Greet clients warmly and ensure they feel valued and comfortable.
o Manage incoming calls, emails, and social media inquiries, providing information on treatments and services.
o Coordinate appointments, cancellations, and rescheduling efficiently.
o Educate clients about the clinic’s offerings and promote new treatments or services.
2. Administrative Support
o Maintain and organize client records, ensuring confidentiality and compliance with GDPR.
o Process payments, track transactions, and manage invoicing.
o Order, monitor, and organize office and clinical supplies.
o Support the clinic team with scheduling and coordinating staff shifts.
3. Customer Service & Engagement
o Handle client feedback and inquiries professionally, escalating concerns to the Clinic Manager.
o Contribute to client satisfaction by providing personalized service and building long-term relationships.
o Assist in promotional activities, such as booking consultations during special offers or events.
4. Clinic Presentation
o Ensure reception, waiting, and treatment areas are tidy and presentable.
o Update displays and marketing materials, keeping clients informed of current offers and new treatments.
Skills and Qualifications
* Experience: Previous experience in reception, administration, or a client-facing role, ideally in an aesthetic, beauty, or healthcare setting.
* Communication: Excellent verbal and written communication skills.
* Organization: Ability to multitask, prioritize, and manage time effectively.
* Tech-Savvy: Proficient in Microsoft Office and familiar with appointment scheduling software; experience with CRM software is a plus.
* Customer-Oriented: Friendly, approachable, and passionate about delivering exceptional service.
* Knowledge of Aesthetics (Desirable): Familiarity with aesthetic treatments and industry trends.
