Job Description
Purpose of the job
To provide professional fund administration support to a varied portfolio of clients for which Ocorian provides services and at all times to comply with the business' Policies and Procedures.
The post holder will report to a Fund Administration Manager.
Main Responsibilities
1. To liaise and communicate accurately, clearly and on a timely basis with clients and other professional advisers as required in order to operate, manage and administer the structures.
2. Awareness of offshore management and control and good corporate governance is important together with a proactive approach to managing and delivery on client expectations.
3. To work closely with the accounting team to ensure that the bookkeeping and accounting arising from all transactions, and in particular the investment transactions, are performed in a timely and accurate manner and provide such support and guidance as is necessary to ensure that this objective is constantly met. The relationship with the accountants must be interactive.
4. To calculate and pay, on behalf of the fund and other entities, all fees and expenses payable, in accordance with the Company’s agreed procedures.
5. To arrange approval and payment of all invoices received, in accordance with the Company’s agreed procedures.
6. To ensure that each structure’s cash is held in accordance with the constitutive documentation appropriate cash management policies and service level agreements.
7. To arrange the timely transfer of funds including for investment purchases and distributions within the required deadlines, in accordance with the Company’s agreed procedures.
8. To arrange foreign exchange deals as required, in accordance with the Company’s procedures.
9. To review and calculate the cash position, ensuring that funds are available to cover all payments due out of the account and investing surplus cash accordingly to ensure that we optimise the client’s investment income.
10. To ensure that the entities in the structure operate within their Investment Guidelines and meet their on-going statutory and regulatory requirements.
11. To understand each structure allocated and monitor and that the entities in the structure are run and administered in accordance with the constitutive documentation, service level agreements and other operational memoranda.
12. To liaise with the Corporate Secretarial team in organising Board meetings including investment transactions, agendas and board papers and ensure relevant action points are carried out on a timely basis. The relationship with the Corporate Secretarial team should be interactive to ensure board meeting are smooth and effective.
13. To ensure that all regulatory and statutory reporting requirements are met.
14. To ensure in conjunction with the Company Secretarial department that, where applicable, continuing obligations of relevant stock exchange listings are met.
15. To contribute to the development of the Company’s IT systems to maximise the efficiency of the administration process.
16. To maintain investor data and registers to a high standard of accuracy.
17. To draft minutes of ad hoc client board and committee meetings.
18. Any other such duties that might be reasonably required for this role.
Qualifications Required
1. Educated to A level or equivalent;
2. ICSA, STEP, ACCA or ICAEW part qualified (at least first level completed) and/or a university degree in Administration, Law or Management from a recognised institution or any relevant field, or any professional qualification related to the Global or financial sector.

Knowledge, Skills and Experience
1. Ideally a minimum of 1 years' experience in funds administration or financial services environment.
2. Strong candidates who are school leavers or graduates will be considered.
3. Strong candidate with transferable skills from other industries would be considered
4. Understanding and technical knowledge of fund administration.
5. Strong IT skills.
6. Excellent organisational and planning skills
7. Excellent presentational, written and verbal communication skills
