The Role
The CAA are looking for a Portfolio Analyst to join our PMO Team. Your day-to-day activities will include:
* Liaising with project/programme leads to ensure adherence to delivery framework and governance standards
* Providing guidance and support to projects including the maintenance of project artefacts (e.g. PID/finance trackers/risk logs)
* Maintaining and updating the programme/project framework to ensure they adequately support CAA delivery methodologies
* Triaging and analysis of data, highlighting issues, trends and making recommendations
* Lead the development, maintenance, and assurance of programme level plans, ensuring alignment across multiple projects.
* Provide milestone tracking and forecasting, ensuring realistic timelines and proactive issue resolution.
* Ensure project teams align with programme objectives, mitigating risks of misalignment or inefficiencies.
* Reporting, including the design and implementation of dashboards. Presenting information back to senior leadership for informed decision making.
* Support and facilitation of governance forums and daily standups
* Tracking, monitoring and updating of Project and/or Programme status
* Lead initial development, ongoing maintenance and quality assurance of high level and detailed plans for programmes or multiple projects, providing or assuring provision of regular plan and milestone progress reports.
* Provide valuable insight and new ideas that drive the continuous improvement in how the PMO operates and delivers value
* Identifying and monitoring key performance indicators that highlight capacity/capability constraints and over commitment of resources for particular areas.
* Track and monitor programme/project budgets, providing insights on financial variances and risks.
* Ensure benefits realisation plans are embedded into plans, tracking and reporting outcomes.
* Hold senior stakeholders and project leads accountable for delivery commitments and programme governance adherence.
* Ensure effective communication and collaboration across project teams, mitigating risks of siloed operations.
* Drive continuous improvement initiatives, ensuring that the PMO remains an enabler of programme success.
About You
You are a proactive and detail oriented PMO professional with a strong background in programme and project governance, assurance, financial management, and risk control. You have a proven track record of enhancing PMO operations, ensuring programme adherence to governance frameworks, and driving efficiency through process improvements. You are confident in stakeholder engagement and accountability, ensuring successful programme execution.
Key Skills & Experience
* Proven experience in a PMO or programme office role, supporting governance, planning, reporting, and delivery assurance.
* Strong working knowledge of programme and project management methodologies (e.g., PRINCE2, MSP, APM, Agile).
* Ability to analyse programme data, identify trends, and provide actionable insights to senior leadership.
* Proficient in financial tracking, risk management, and benefits realisation, ensuring strategic alignment.
* Experience in prioritising projects and tracking outcomes against business objectives.
* Strong problem solving and numerical skills, with expertise in monitoring KPIs, capacity constraints, and dependencies.
* Advanced MS applications proficiency (Excel, PowerPoint, MS Project, MS Teams) and experience with PPM tools.
* Experience in SharePoint management, including creating and maintaining programme level team sites.
* Excellent written communication and presentation skills, able to translate complex data into clear insights.
* Confident and persuasive communicator, capable of engaging and influencing stakeholders at all levels.
* Experience in reviewing and updating project documentation (e.g., PIDs, Business Cases, risk logs, project plans).
* Highly organised, proactive, and adaptable, capable of working independently and collaboratively in a fast-paced environment.

Relocation & Property
The CAA will be relocating from Aviation House (Our Gatwick Office) to new premises in a few years’ time. Our move is driven by strategic, operational and environmental considerations.
We will be moving to a new local home, up to a 15-mile radius of Aviation House, to minimise disruption for our valued colleagues and customers.
We are now working with colleagues and visitors to understand what we need in our new office, before we start our property search. We will sell Aviation House and land, vacate the site and move to new premises, but we do not expect to move before 2028.
