We are seeking an organised, detail-oriented and experienced Landscaping Contract Manager to oversee and manage all aspects of contract administration within Urban Landscape Design Ltd. The ideal candidate will possess a strong understanding of contractual terms and conditions, as well as the ability to negotiate effectively. This role is to ensure compliance with legal requirements and organisational policies while maintaining positive relationships with stakeholders.
Contract Administration
* Drafting and Negotiation: Drafting contracts with clients, subcontractors, and suppliers, ensuring terms are clear and protect the company.
* Reviewing Contracts: Analyzing terms and conditions to ensure compliance with company policies and legal requirements.
* Managing Amendments: Overseeing any necessary changes or variations to contracts as projects evolve.
Project Management Support
* Scheduling and Coordination: Collaborating with project managers to ensure work aligns with contract terms and project timelines.
* Budget Oversight: Monitoring project budgets to ensure the project remains profitable and within financial expectations.
* Quality Assurance: Ensuring projects meet specifications and standards detailed in contracts.
Client and Stakeholder Interaction
* Client Liaison: Acting as the point of contact for clients to address queries or concerns related to contracts.
* Stakeholder Management: Communicating effectively with suppliers, subcontractors, and internal teams to maintain alignment on project goals.
Risk Management and Compliance
* Regulatory Adherence: Ensuring all work complies with safety, environmental, and legal regulations.
* Risk Mitigation: Identifying potential contractual risks and resolving disputes or issues before they escalate.
Reporting and Documentation
* Progress Reporting: Providing regular updates to management on the status of contracts and related projects.
* Record Maintenance: Maintaining organized records of all contractual agreements and related documentation.
Business Development Contributions
* Estimating and Proposals: Assisting with tendering for new business by preparing estimates, proposals, and contract documents.
* Market Insight: Keeping the company informed about market conditions or client preferences to adjust contracts accordingly.
Other
* Assessing project feasibility during the bidding process.
* Working with landscape designers to align design plans with contractual obligations.
* Handling the logistics of materials and subcontractor schedules to align with customer agreements.

Experience required
* Proven experience in contract management or a similar role within construction or landscaping.
* Strong negotiation skills with the ability to influence stakeholders effectively.
* Excellent analytical skills with keen attention to detail.
* Proficient in contract law and legal terminology.
* Excellent communication skills, both written and verbal, enabling clear articulation of complex concepts.
* Ability to work independently as well as part of a team in a fast-paced environment.
