PRS are seeking to recruit an experienced Facilities Management Administrator based in Nottingham. This is a temp to perm role for the right candidate, paying £12.50 per hour. The working hours are Monday to Friday, 8am - 5pm. Hybrid working is available after qualification, but 5 days in the office are required initially.
Job Specification:
1. Experience using a CAFM (Computer-aided Facility Management) is essential. You will track job requests and chase the relevant Managers/Engineers for quotes to include in formal proposals.
2. Use the provided Excel template to extract information from quotations and create formal proposals.
3. Assist with raising purchase/subcontractor orders as requested by the Contracts Manager, Supervisors, and Engineers, including chasing Purchase Orders from the Helpdesk or Client.
4. Keep track of all quoted helpdesk requests, i.e., awaiting a PO from the client or the helpdesk.
5. Maintain up-to-date Service Contract Files.
6. Work from the CAFM system and follow up with relevant people for quotes.
7. Assist in producing operational and monthly reports internally and externally.
8. Control the full implementation of the IMS and assist with internal audits to ensure compliance with EFS standard procedures and accreditations.
9. Assist in preparing supporting documentation for final invoicing; a finance background is preferred.
10. Compile and distribute data relating to utilities, maintenance work, operational costs, and invoicing.
11. Assist in producing and analyzing financial reports.
12. Carry out general typing and filing duties as required.
13. Compile engineers' timesheets and input relevant information onto the Timesheet Database System while tracking holidays.
14. Respond to client's Helpdesk requests and maintain a tracker of job statuses, i.e., awaiting quotations from subcontractors or awaiting POs.
15. Assist with emergency requests and provide administration cover from additional sites.
